We are currently seeking a full-time
Patient Care Coordinator
to join our team in
White Rock, BC.
The Patient Care Coordinator is the first and last point of contact for patients and visitors at Resolve Sleep Health. They are vital to delivering an excellent patient experience and driving sales to support complete sleep health for patients. Working closely with Clinicians and colleagues, this role is responsible for the administrative functions that support the clinic's daily operations, including greeting patients, coordinating sleep studies, and liaising with insurance providers to ensure timely claim processing. The Patient Coordinator supports the Clinic Manager with running smooth clinic days, by monitoring the operational flow, anticipating changes and helping with the day-to-day upkeep of the clinic environment.
Key Accountabilities
Acting as an ambassador to the company and living our share Resolve Sleep Health values.
Greet patients with high quality service standards, provide intake documentation and screen them for appropriate information.
Provide a welcoming and solutions-focused experience for patients through intake, ongoing communication (in-person, phone, fax and email), and support throughout their treatment.
Actively sharing marketing initiatives and promotions with patients to provide an excellent patient experience with full service and sales support.
Discuss cost of service, insurance coverage, and payment options with the patient.
General office administrative duties include managing appointments for patients and Clinicians according to established protocol, processing doctor referrals, maintaining clinic inventory, etc.
Educate patients on sleep therapies and assessments, including retail sales, diagnostic equipment uses, and therapy support--covering preparation, proper usage, and report submission to physicians. Follow up with physicians as needed.
Support patient care with mask and equipment related sales and resupply.
Conducting confirmation of appointment and retention phone calls, texts or emails.
Preparation and reprocessing of trial units.
Overseeing patient accounts including initial set up, facilitating payments and submission of claims, following up on warranty issues and processing accounts receivables.
Maintain/review patient records, charts, and other pertinent information.
Collaborate effectively with team members to ensure high-quality patient care.
Maintain exam rooms by ensuring necessary supplies, organized equipment, and overall clinic appearance and cleanliness.
Actively participate in internal communications, including responding to emails, attending team meetings and training sessions; collaborate effectively with team members and other Resolve support teams; and contribute to the onboarding and training of new team members.
Assist the operations teams with inventory management where appropriate (eg. placing and receiving orders from vendors, mask and device guarantee, RMA's)
Maintain accurate and confidential patient records in accordance with privacy policies and legislative requirements. As the custodian of care, ensure personal health information is held in a secure location, collected only as necessary to provide healthcare services with consent from patients, accessed only by authorized team members, and used in accordance with the specific requirements of privacy legislation.
Maintain comprehensive knowledge of all PCC duties and support cross-coverage for team members to ensure smooth and consistent clinic operations
Perform other related duties as assigned.
Skills & Qualifications
High School Diploma, GED or equivalent
Post-secondary program in administration and/or have at least 1 year experience in a similar role
Exemplary customer service skillset
Quick learner with the ability to multitask, prioritize, and work under pressure, both independently and as a team member
Strong interpersonal and organizational skills, with excellent verbal and written communication
High accuracy and attention to detail
Exceptional computer & data entry skills
Completion of legislated Health and Safety training and WHMIS training courses
Additional languages are an asset
Experience with virtual care would be considered an asset; must be willing to integrate virtual care into practice
