Position Overview
We are seeking a creative and reliable Marketing & Administrative Assistant to support our growing marketing initiatives and provide front desk support. This part-time role is ideal for someone with strong design skills, organizational ability, and an interest in real estate marketing. You will create compelling marketing materials that highlight each property, manage MLS data entry utilizing systems such as ITSO Matrix, REALM & BrokerBay, and ensure brokerage compliance with documentation standards, facilitating a smooth and compliant process for all involved parties.
Marketing Responsibilities
Manage all brokerage social media channels (Instagram, Facebook, LinkedIn, etc.), including:
Content creation, filming, editing, posting, and scheduling
Monitoring engagement, responding to comments/messages, and analyzing performance metrics
Use existing templates to design feature sheets, social media graphics, and other marketing materials in Canva
Write and edit copy for posts, feature sheets, and promotional campaigns
Update and refine branded templates to ensure consistency and modern appeal
Create and support presentations, brochures, signage, and promotional assets as needed
Ensure all marketing materials follow brand guidelines and comply with real estate industry standards
Utilize the brokerage's podcast/media room for content creation (filming, recording, or podcasting), if experienced
Administrative Duties (Saturdays Primarily)
Manage a multi-line phone system; handle client inquiries as the first point of contact
Greet and assist clients and visitors in a professional, welcoming manner
Book and confirm showings through the BrokerBay platform
Monitor brokerage email account and provide prompt responses to inquiries
Provide administrative support to Sales Representatives
Brokerload new listings, update property details, and maintain accurate data across MLS platforms
Review all submitted paperwork to ensure accuracy, completeness, and required signatures
Process Amendments, Suspensions, and Cancellations as needed
Stay current on real estate forms, rules, and regulations to ensure brokerage compliance
Validate each transaction file and request missing documentation when required
Qualifications
Minimum 1 year of real estate administration experience required
Knowledge of ITSO Matrix, REALM, BrokerBay, Geowarehouse, Authentisign, and related systems is required
Proficiency in Google Workspace, Slack, Trello, Canva, and ChatGPT
Strong attention to detail and brand consistency
Ability to work independently and meet deadlines
Excellent written and visual communication skills
Excellent ability to convey information clearly by phone and email
Additional Details
90-day probation with 30/60/90-day reviews
Opportunity to expand into full-time based on performance and brokerage needs
No outside work for agents is permitted
Saturday is a required shift; weekday shifts have some flexibility
