Administrative Assistant
to support our clinic operations and therapist team at our
North York location (near Fairview Mall).
This
in-person
role is perfect for someone with strong organizational skills, excellent communication, and the ability to multitask in a dynamic healthcare setting.
Key Responsibilities
Client Engagement & Retention:
Follow up with consultation clients to gather feedback and confirm appointments.
Conduct 3-month follow-ups to check client satisfaction and ongoing needs.
Send email reminders informing clients about appointment details.
Administrative Operations:
Manage clinic documents
- Create and update procedural manuals, including a detailed
Jane software manual
for clinic operations.
Intake Form Management
- Ensure all new clients have completed forms and credit card details on file.
New Hire Setup
- Add employees to internal systems (Jane, Grasshopper, Psychology Today, WiseStamp) and assist with onboarding.
Therapist Support
- Assist therapists with administrative tasks and procedural questions.
Policy Updates
- Regularly update and communicate clinic policies and procedures.
HR & Recruitment:
Post job openings on Indeed, LinkedIn, and other platforms.
Conduct preliminary phone interviews to screen candidates.
Finance & Accounts Management:
Monitor outstanding balances and contact clients for payments.
Ensure billing accuracy and streamlined financial processes.
Marketing & Outreach:
Update marketing trackers to analyze campaign success.
Assist with referral outreach to schools, physicians, and community partners
Research and coordinate participation in
local conventions and health expos.
Manage and update social media pages.
Operational Efficiency & Compliance:
Perform regular audits to ensure compliance with clinic policies.
Manage internal communication, ensuring timely client and staff updates.
Work closely with therapists to
enhance administrative and client-facing processes.
What We're Looking For
Strong organizational and administrative skills.
Excellent written and verbal communication.
Proficiency in office tools and
willingness to learn Jane software
(training provided).
Detail-oriented with the ability to multitask in a fast-paced environment.
A proactive approach to problem-solving and supporting therapists.
Experience in a healthcare, wellness, or therapy-related setting is a plus but not required.
