We are looking for a Parts & Service Coordinator who can bridge communication between customers, technicians, and the office to ensure accurate parts sourcing, strong workflow efficiency, and professional service support.
Position Overview:
The Parts & Service Coordinator is responsible for overseeing the day-to-day parts procurement and service administration activities. This includes sourcing, pricing, margin management, coordinating parts for technicians, creating and managing work orders, scheduling service appointments, and maintaining active communication between customers and the shop floor. This role works closely with the Office Manager on invoicing accuracy and supports shop productivity through efficient organization and planning.
Key Responsibilities:
Parts Coordination:
Source, price, and order parts from vendors and suppliers
Manage parts margins and ensure cost accuracy on work orders
Track parts deliveries and coordinate with technicians on the shop floor/mobile trucks
Prepare, label, and distribute parts to technicians in a timely manner
Handle parts returns, warranty parts, and supplier claims
Service Coordination & Administration:
Create and manage work orders from intake through completion
Schedule service jobs and assign tasks to technicians
Build estimates for customer approval (parts + labor)
Provide clear and timely updates to customers regarding repair status
Act as the central communication link between technicians and customers
Track and monitor technician time and shop efficiency (weekly review)
Assist with invoice preparation and service billing accuracy
Support workflow prioritization to maintain shop schedule and deadlines
Qualifications & Skills:
Experience in a heavy-duty, automotive, or industrial service environment preferred
Strong understanding of parts sourcing, pricing, and repair terminology
Excellent communication and customer service skills
Strong organizational and multitasking ability in a fast-paced environment
Proficient with computers, shop management systems, and vendor catalog systems
Ability to work collaboratively with technicians, management, and customers
Problem-solving mindset with attention to detail
