Position Overview:
We are seeking a detail-oriented
Parts Coordinator
to join our team. The successful candidate will be responsible for managing parts inventory, coordinating procurement activities, and supporting our fleet maintenance operations for both heavy-duty and light-duty waste collection vehicles. This role is essential to maintaining our fleet's operational efficiency and minimizing vehicle downtime.
Our diverse fleet includes heavy-duty waste collection vehicles (front load, side load, and roll-off garbage trucks), specialized equipment (septic trucks, hook lifts, 4500/5500 trucks), Class 1 tractor trailers (walking floor and tanker configurations), and light-duty support vehicles.
Key Responsibilities
(including but not limited to)
Parts Management & Procurement
Maintain accurate inventory levels of parts and supplies for heavy-duty and light-duty vehicles.
Source and obtain competitive quotes from multiple vendors for parts, supplies, and services.
Process purchase orders and track deliveries through company PO system.
Coordinate with suppliers to ensure the timely delivery of critical components.
Fleet Support & Coordination
Work with mechanics and supervisors to identify required parts for scheduled maintenance and emergency repairs.
Prepare cost estimates and timelines for parts procurement based on maintenance schedules and repair requirements.
Create and process work orders while coordinating parts delivery to minimize vehicle downtime.
Maintain detailed records or parts usage, costs, and vendor performance.
Administrative Duties
Respond to operator inquiries regarding parts availability and delivery timelines.
Update and maintain parts inventory management system.
Process warranty claims and coordinate warranty parts returns.
Prepare regular inventory and procurement reports.
Perform other tasks and duties as assigned by management.
Qualifications:
Post-secondary education in automotive technology or business administration is an asset.
Previous experience in parts coordination, inventory management, or automotive/heavy equipment parts sales.
Knowledge of heavy-duty components and waste management equipment preferred.
Experience with inventory management software and ERP systems.
Strong organizational skills with exceptional attention to detail.
Excellent communication skills and ability to work effectively with mechanics, operations, and vendors.
Proficient in Microsoft Office Suite and parts catalogue systems.
Strong problem-solving abilities and the capacity to work under pressure.
Ability to lift up to 25 kg (55 lbs) and work in a shop environment as needed.
