We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office software, and the ability to manage multiple tasks efficiently in a fast-paced environment. Experience in medical or dental offices is a plus, but not required.
Duties
Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems, directing calls appropriately with excellent phone etiquette
Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
Perform data entry and maintain accurate records through filing and digital organization
Handle incoming and outgoing correspondence, including emails and mail distribution
Assist with administrative tasks such as proofreading documents, managing paperwork, and updating records
Support bookkeeping activities using QuickBooks or similar software when necessary
Maintain a clean and professional front desk area to ensure a welcoming environment
Provide customer support by addressing inquiries promptly and professionally
Coordinate with other departments to ensure smooth office operations
Qualifications
Proven clerical or administrative experience, preferably in an office setting or medical/dental environment
Strong computer skills, including proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry
Experience with QuickBooks or bookkeeping is advantageous
Excellent organizational skills with the ability to multitask effectively
Exceptional customer service skills and professional phone etiquette
Ability to handle sensitive information with confidentiality and discretion
Typing speed of at least 40 words per minute with high accuracy; proofreading skills are a plus
Prior experience working at the front desk or handling multi-line phone systems preferred
Knowledge of medical or dental office procedures is beneficial but not required
