Position Details:



Title: Part Time Administrator

This is not a summer, remote, or temporary role.

Hours: 15-20 Hours per week

Responsibilities:



- Phone and Email Communication: Respond to phone calls and emails promptly, addressing inquiries, assist with new patient bookings, explain our services, handle cancellations and re-bookings

- Warmly Greet and Assist Patients: You will be the first point of contact for patients visiting our clinic. Greet them with a friendly and welcoming demeanor, ensuring they feel comfortable and supported throughout their visit.

- Appointment Scheduling: Efficiently manage appointment bookings, rescheduling, and cancellations. Work with practitioners to optimize scheduling and minimize wait times.

- Patient Records Management: Maintain accurate and confidential patient records, ensuring all information is updated and organized properly in our electronic health records system.

- Billing and Payments: Handle patient payments, direct insurance billing, and assist with billing-related inquiries.

- Maintain Reception Area: Keep the reception area clean, organized, and presentable.

- Support Clinic Operations: Collaborate with the clinic team to ensure smooth daily operations and support other administrative tasks as needed.

Qualifications:



- Excellent Communication Skills: Strong verbal and written communication abilities are essential for this role. Proficiency on phones is required.

- Customer Service Oriented: A friendly and patient-centric attitude is a must! Previous experience in customer service or a healthcare setting is advantageous.

- Organized and Detail-Oriented: The ability to multitask, prioritize tasks, and maintain attention to detail is crucial in this role.

- Proficient with Technology: Comfortable using computer systems, phone systems, electronic health records (EHR), and basic office software (ie
Excel, Google Drive).

- Professionalism: Demonstrate professionalism, empathy, and confidentiality when dealing with patients and their sensitive information.

- Eligibility to Work: Applicants must be legally entitled to work in Canada

Experience with Customer Service on the Phone and Direct Insurance Billing is an asset

Job Type: Part-time

Pay: From $18.00 per hour

Expected hours: 15 - 20 per week
