We are looking for an experienced PA and Office Manager to provide support to the Regional Head and to manage the day-to-day running of the Toronto office. We are looking for a candidate who is proactive, who has a \xe2\x80\x9ccan-do\xe2\x80\x9d attitude and pays close attention to detail. This is a customer-facing role, so candidates must be polished, professional and demonstrate a people-first attitude.

Responsibilities:

  • Proactively manage Regional Head\xe2\x80\x99s diary; prioritising meetings and appointments to fit with organisational priorities
  • Co-ordinating travel arrangements, accommodation and meetings including bios and itineraries
  • Attend internal meetings; manage agenda items, record key decisions and track follow-up actions
  • Liaising with reception, welcoming guests and contractors, and gatekeeper for incoming calls
  • Managing meeting room requests, set up, supplies etc.
  • Performing data entry roles, including updating records and databases
  • Planning events and setting key objectives, collaborating with internal stakeholders in finance and marketing
  • Suggesting new ideas that maximise engagement for customer events and internal social events
  • Assist with the onboarding of local hires including facilitating day 1 set up, office passes and introductory meetings
Requirements
  • At least 3 years\xe2\x80\x99 experience PA support for senior stakeholders
  • Excellent knowledge of MS office suite
  • Experience in a customer/client-facing position and use of a CRM system advantageous
  • Excellent attention to detail
  • Organised and punctual
  • Excellent written and spoken English
  • Self-motivated and action-oriented person
  • Driven and able to work on their own to solve problems
  • Teamwork/interpersonal skills
