The Opportunity
We are looking for an
Organizational Policy & Compliance Coordinator
to join our
Strategic Projects Team
at CUPS.
The Policy & Privacy Coordinator provides expertise in policy development, privacy standards, and organizational compliance, coordinating with subject matter experts across all departments at CUPS.
You will be responsible for researching, drafting, reviewing, updating, and implementing policies and procedures that reflect best practices, align with legislation, and meet accreditation and organizational standards. You will also play a lead role in managing accreditation processes, monitoring privacy and legislative changes, and contributing to staff training and awareness around standards of practice for policy, privacy, and consent.
The successful candidate brings a strong background in organizational policy and privacy compliance, exceptional communication and organizational skills, and the ability to engage stakeholders across diverse teams.
This role will also cover duties of a team member currently on leave until their return.

Key Responsibilities
Research, draft, review, and update policies and procedures in partnership with leaders and subject matter experts, ensuring alignment with best practices, legislation, and Canadian Accreditation Council (CAC) accreditation requirements.
Lead and coordinate organization-wide policy initiatives, from planning to implementation, ensuring new and updates to policies align with CAC accreditation standards
Develop and maintain policy manuals and ensure policies are accessible, clearly written, and regularly reviewed.
Conduct environmental scans to understand interconnections among CUPS policies, ensuring consistency and organization-wide alignment.
Maintain a policy tracking system, monitoring review timelines, updates, and version control.
Audit and assess policy effectiveness through engagement with stakeholders and reporting on adherence.
Monitor and track relevant legislation (e.g., Alberta's Health Information Act, Personal Information Protection Act, Employment Standards).
Partner with the Privacy Officer to review and update privacy policies, breach protocols, and confidentiality standards.
Support development and maintenance of client consent documentation and processes, ensuring compliance and clarity for staff and participants.
Develop and help deliver training modules and communication materials related to privacy, consent, and policy standards.
Coordinate and manage all aspects of accreditation preparation in partnership with leaders and team members, submission, and follow-up, in alignment with CAC and other applicable frameworks. Coordinate roll-out activities of updated and new policies, partnering with Operational leaders, HR and Communications to ensure effective adoption of practices.
Organize and facilitate follow-up meetings with subject matter experts and accreditation leads.
Maintain secure, accurate and organized records of all policy, privacy and accreditation documentation, ensuring readiness for audits and onsite reviews.
Identify and mitigate accreditation project risks, and report on progress against timelines and deliverables.
Support post-accreditation debriefs and continuous improvement activities.
Develop, write, and edit high-quality policy and procedure documents in clear, accessible language.
Partner with leaders and subject matter experts to create and deliver engaging training sessions on policy, privacy, and standards of practice.
This role will also cover the following duties of a team member currently on leave until their return.
Follow the CUPS Project Management Process, applying tools such as Gantt charts, risk registers, and structured follow-up meetings to support project delivery.
Organize and facilitate project meetings, including crafting agendas, updating project plans, and creating meeting minutes.
Support Project & Change Management initiatives, providing project updates and reports to leadership.
Maintain project documentation and ensure deliverables are shared and stored appropriately.
Communicate effectively across teams with a shared understanding of project goals and outcomes.
Support accreditation and policy-related tasks, including assisting with documentation, coordinating updates, and ensuring alignment with organizational standards.
Employment Requirements
Minimum 3 years' experience in policy development, privacy, compliance, or related roles, and at least 5 years' general documentation or administrative experience.
Post-secondary education in Public Administration, Policy Studies, Privacy/Compliance, Project Management, or related field.
What You Bring
PMP, CAPM, or CIPP/C certification is an asset.
Proven experience in developing, implementing, and managing organizational policies.
Strong knowledge of privacy legislation, client consent practices, and regulatory or accreditation frameworks (e.g., CAC).
Experience in business writing, translating complex information into clear and accessible policies or training materials.
Proficiency with Microsoft Office 365 and policy/project management tools.
Exceptional communication, organizational, and interpersonal skills, with the ability to lead through influence.
Experience in healthcare, social services, or nonprofit sectors is an asset.
Work Conditions
