Reporting to the Contract Manager, the Operations Supervisor helps administer and organize all types of facilities management, including coordinating, planning and managing the variety of managed services for the building or facility. The position works closely with both the B&M on-site team and the client FM resources.

Duties and responsibilities include but are not limited to:

  • Schedule, supervise and monitor subcontracted personnel as needed to accomplish tasks
  • Review and approve cleaning hours and coordinate the planning and scheduling of periodic maintenance task (i.e. carpet cleaning) with building/facility staff and on-site team
  • Janitorial services: conduct daily and monthly full building/facility audits and walk-throughs, discuss specific findings and provide feedback to the janitorial team
  • Waste, recycling, shredding and compost; plan/call for pickups, review and approve invoices and provide monthly updates and reports
  • Non cloud glass cleaning: review cleaning and sign off on work orders, schedule cleaning projects as outlined per the contract
  • Cloud glass cleaning: prepare the annual scope of work and oversee the project from start to finish, coordinate work outside of the contract and liaise with contractor and staff regarding entrance/exit closures
  • Property maintenance: oversee the contractor while on site, prepare annual scope and request and oversee small landscape projects
  • Tree maintenance: review and approve invoices, schedule annual tree spraying and request any standing offers
  • Interior plant maintenance: review and approve invoices and request any plantings outside of contract
  • Snow clearing; prepare annual scope if required, request and approve extra snow clearing outside the contract and complete monthly seasonal contractor scorecards
  • Pest control: escort contractor around the building/facility biweekly, discuss any abnormal findings, schedule and coordinate activities outside the contract
  • Establish and maintain strong, collaborative relationships with vendors and other third parties to understand challenges and opportunities, ensure timely exchange of information and ensure service level requirements are met
  • Count inventory and order equipment, materials and supplies for the maintenance department
  • Perform and review various administrative tasks; generate and assign PMs, review time sheets, monitor work order completion etc.
  • On-site scheduling: operator work and on-call schedule, and plan and cover vacations
  • Take on initiatives including BOMA Best or Sustainability

WORK EXPERIENCE REQUIREMENTS
  • Minimum 3-5 years of experience in facility maintenance and/or property management
  • Effective leadership skills with strong focus on facility and business processes
  • Working knowledge of the following principles and standards; asset management, quality assurance and maintenance management process and systems
  • Basic computer literacy with Microsoft Office Suite and CMMS
  • Demonstrated experience in administration, project management and facilities management, in a multi-facility environment
