Operations Officer, Registrarial ServicesRegistrarial Services is a central unit responsible for a wide range of administrative oversight and operational functions, including registration, tuition and fees, exams, convocation, programs, Catalogue, class build, faculty actions, grades, room scheduling, and the continuing education registration system.Primary Purpose:This position will support the Associate Registrar, overseeing or supporting operations for many areas within Registrarial Services. They may also be called upon to assist with other duties and projects as assigned.Nature of Work:Reporting to the Associate Registrar and Director, the main duties will comprise day-to-day support to Sr Coordinators who oversee operations within Registrarial Servicesincluding: maintaining the academic history records of students, MyCreds transcript support, assisting in exam assignments and set-up, recording holds and faculty actions within the student information system (Banner), building classes or adjusting student registration records, investigating student financial questions, supporting events, rooms, or conference requests, and supporting convocation. Maintaining accurate class, registration, student, and financial records are essential. Using the student Information system the incumbent will work with the Associate Registrar and Director, to ensure operations align with policies and procedures. They will assist in identifying future needs of the unit related to business process improvement regarding operations and procedures, then initiating appropriate courses of action to resolve complex processes. They will also be responsible for developing a data-driven environment through the compiling and disseminating of data and reports (financial and operational) to various units across campus. There may also be other duties as assigned. The FTE may vary month to month as required by the Associate Registrar and Director.Typical Duties or Accountabilities:

  • Work with the University Governance Office to process and configure faculty actions and maintain accurate student academic history records
  • Process highly sensitive and confidential information
  • Support students through the MyCreds record request process
  • Sustain the financial and registration data integrity of student records
  • Assist with scheduling and invigilating exams; both 3rd party, and regular exams
  • Aid the Coordinator of the class build and registration process in communicating with students/depts/colleges about consistency, errors, or concerns
  • Assist the Sr Coordinator of Scheduling to process room requests when assigning bookable space and generate reports for room usage statistics
  • Support the Sr Coordinator of Convocation with parchment production, transcripts and student academic history record management
  • Work with Sr Coordinator of Programs to maintain course and program integrity and accuracy
  • Assist with HR processes upon request
  • Maintain daily and weekly meetings for Sr Coordinators and Associate Registrar
  • Update websites within Registrarial Services, ensuring they communicate proper procedures for governance processes
  • Update course records in Banner or program information through our content management system (Cascade) as required by the University Course Challenge process
  • Establish and/or enhance operational business practices and procedures, collaborating with campus partnerships to ensure continued operational efficiency
  • Support the academic mission of the University by effectively and efficiently managing student records and administrative activities
  • Ensure that operations align with goals, timelines, and quality standards by managing communication, dependencies, and resources, while maintaining consistency and accuracy when handling class, course, financial, or governance records
  • Identify potential risks, such as technical challenges and address these issues, minimizing disruptions and ensuring smooth operations
  • Develop solid working and collaborative relationships with academic, financial, technology, and administrative units across campus
  • Will perform self-directed work within established guidelines and policies
  • Independently exercise a scope of focused and assigned duties
  • Other duties as assigned.
Education: Completion of a university degree is a requirement. Knowledge of university administrative operations is an asset.Experience: Previous experience working in a university administration setting and a working knowledge of student information systems (including registration systems) is an asset.Skills: The candidate must possess superior interpersonal and communication skills (oral, written, and editorial). Demonstrated accuracy in data entry and the ability to maintain attention to detail and to recognize and implement changes in procedures resulting in improved efficiency and effectiveness. Possess high standard of professional integrity with the ability to maintain confidentiality and handle sensitive matters diplomatically and discreetly. Demonstrated capacity to manage multiple tasks with tight timelines and competing demands. Demonstrated ability to work independently as well as collaboratively, within a team environment. Strong analytical and administrative problem-solving skills. Ability to assist with document and report preparation. Proficiency with contemporary computer applications, knowledge of Microsoft Office (Outlook, Excel and Word) are required. Knowledge of the student information system (Banner) is considered an asset.Department: Registrarial Services
Status: Term Up to 10 months with the possibility of extension or becoming permanent

Salary: The salary range, based on 1.0 FTE, is $52,050.00 - 81,328.00 per annum. The starting salary will be commensurate with education and experience.
