The Operations Manager will directly support the Founder/CEO and oversee key client relationships and spearhead day-to-day supply chain and order fulfillment flows.They will work on high-level projects and work scopes with customers across DTC and B2B fulfillment, transportation and logistics, supply chain, inventory flow and allocation, vendor relationship management, product launch strategy, and customer experience. This role will also be responsible for managing the team. You must be both a self-starter with an entrepreneurial mindset and a team player that is willing to roll up your sleeves believing that \xe2\x80\x98no task is too big or too small. The role requires exceptional business acumen and analytical abilities, as well as excellent communication and relationship building skills.

You will fill a pivotal role as we prepare for the next stage of the business and scale. You will work directly with our Founder/CEO to support our roster of customers and Healthy Hippo\xe2\x80\x99s key growth initiatives. Core responsibilities will include:

  • Collaborate with Healthy Hippo\xe2\x80\x99s CPG team in fostering and managing customer relationships and work scopes, along with Healthy Hippo\xe2\x80\x99s CPG\xe2\x80\x99s growth initiatives, and brainstorm efficiencies and automations for customer process flows
  • Ensure that correspondence with clients\xe2\x80\x99 internal teams, vendors, retail partners, supply chain partners is maintained in a timely manner
  • Manage Healthy Hippo\xe2\x80\x99s CPG Operations team and ensure Operations
Associates are maintaining their workload and scope successfully
  • Oversee day-to-day operational flows of supply chain, retail fulfillment, e-commerce orders, logistics and warehousing, inventory, customer experience
  • Manage and fulfill each client\xe2\x80\x99s retail purchase orders across all retail channels and supporting platforms, including: EDI, Amazon Seller/Vendor
Central, etc.; ensure accuracy and timeliness of all purchase order fulfillment and that routing guides are being followed
  • Compile regular inventory valuation and sales reporting\xe2\x80\x99
  • Warehouse coordination and shipping
  • Generate and submit invoices for all retail orders; follow up on payment status as needed; Review and report chargebacks; investigate and dispute
charges with retailers as needed
  • Cultivate relationship with and correspond with 3PL partners to ensure timely shipping and delivery of e-commerce and retail orders and oversee specialty value-added services and projects
  • Manage and execute client retail operations flows, including PO processing, invoicing, accounts reconciliation, inventory allocation, product updates, portal management, EDI
  • Manage customer service for dedicated brands and troubleshoot e-commerce order fulfillment issues
  • Create, organize, and update customer documentation and reporting,
SOPs, retail and routing guidelines
  • Assist with sourcing and cultivating relationships with vendors across packaging, transportation, warehousing, merchandise, and manufacturing
  • Gather and update vendor pricing, quotes, order quantities as needed
What are your skills and experience? (a wishlist)
  • At least 3+ years in retail/CPG industry, preferably within an operational function at a startup business, experience in retail fulfillment a plus
  • Experiencing managing a team a plus
  • Both a dynamic self-starter and a team player with an entrepreneurial mindset, able to self-manage and work independently without hand holding
  • Detail-oriented, highly organized, and able to multi-task \xe2\x80\x93 must be able to keep up with multiple clients, emails, timelines, launches, purchase orders simultaneously and with accuracy and timeliness
  • The ability to blend creativity and data to strategize the best, efficient, innovative outcomes
  • An agile, resourceful problem solver that can adapt within a constantly evolving business
  • Proven ability to thrive in a fast-paced environment and adapt quickly to new circumstances without sacrificing attention to detail
  • Excellent interpersonal and communication skills and prioritizes relationship building with both internal team and clients
  • Excited about working in a startup with the ability to approach growth like an entrepreneur - this role will have freedom to innovate, and you will have significant impact on the overall growth of the business and the culture and the company
  • Competency in Microsoft platforms (Excel, Powerpoint, Word),
Google platforms, project management tools and the ability to quickly master and implement new applications and systems
  • Experience working with big box, mass, specialty, boutique retailers; understands routing guides and retail order fulfillment flows
  • Experience in Shopify, Quickbooks, SOS Inventory, SPS
Commerce and EDI platforms
  • Must be eligible to work in Canada.
