The Assistant to the Operations Manager supports the daily management and coordination of the company's trucking and logistics operations. This role helps ensure smooth communication between departments, efficient fleet performance, and adherence to company policies and DOT regulations. The ideal candidate is organized, proactive, and comfortable working in a fast-paced transportation environment.
Key Responsibilities:
Provide direct administrative and operational support to the Operations Manager in day-to-day activities including managing a busy schedule of meetings, drafting and handling correspondence that may be sensitive or confidential, compiling documents and reports to support meetings.
Prepare operational reports and analyze data on delivery performance, fuel usage, and other productivity reports.
Prioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.??
Help schedule safety meetings, training sessions, and compliance audits.
Assist in accident/incident reporting and follow-up, ensuring documentation and corrective actions are completed.
Assist in implementing safety, compliance, and efficiency initiatives.
Stay informed of DOT/FMCSA regulation changes and update internal teams as necessary.
Help identify potential scheduling conflicts or equipment availability issues and escalate them appropriately.
Maintain equipment records, inspection reports, and maintenance logs.
Serve as a point of contact for customers regarding shipment updates, delivery inquiries, and service concerns, escalate issues to the Operations Manager as needed.
Prepare warehouse quotes, coordinate pricing and service details with clients, and assist with related administrative tasks.
Handle confidential information and maintain professional discretion at all times.

Qualifications:
Education; Associate or bachelor's degree in business, logistics, or a related field preferred.
Experience: 1-3 years of experience in trucking, logistics, or transportation operations preferred.
Skills:
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Excel, Word, Outlook).
Experience with dispatch or fleet management software (Samsara, TMW, TAILWIND) is a plus.
Working knowledge of DOT regulations and trucking compliance standards.
Other: Ability to work flexible hours as needed to support operations.
