Job Summary:
The Operations & HSE Administrator will be proactive, highly organized, and a solutions-oriented professional responsible for full-spectrum administrative leadership for Tron Construction & Mining. This role provides executive-level support, manages office operations, drives process efficiency and supports HSE executives while acting as a key liaison across Tron Construction & Mining and field project teams.
The role requires exceptional communication, strong ownership mentality, and the capability to coordinate multiple priorities in a fast-paced, growth-oriented environment.
Scope of Responsibilities:
Office & Administrative Leadership
Oversee daily office operations, workflows, and administrative processes to ensure seamless execution.
Develop, implement, and manage standardized administrative policies, procedures, documentation systems, and communication protocols.
Manage confidential records, digital filing systems, SharePoint/Teams structure, and document control requirements.
Executive & Departmental Support
Support Project delivery, HSE, Quality, and Finance teams with planning, scheduling, reporting, tracking, and general administrative coordination.
Manage calendars, priorities, travel logistics, expenses, and credit card reconciliations.
Act as a follow-through facilitator ensuring timely completion of tasks, deliverables, and action items.
HSE Management & Administration
Support executive Level HSE management.
Working with HSE leads to assist with program management and responsible for HSE reporting.
Manage ISNet requirements.
Update monthly safety stats & KPI data.
Manage and maintain monthly Safety Dashboards for Tron Construction & Mining using Salus and other necessary programs.
Coordinate safety training & orientations.
Communication & Meeting Management
Coordinate and manage meeting logistics, agendas, materials, and action registers.
Prepare meeting minutes, track assigned responsibilities, and drive accountability on follow-ups.
Draft internal communications, correspondence, presentations, and reporting supporting operational alignment.
Project & Operational Support
Provide administrative support to site project teams, including onboarding coordination, scheduling, and logistics.
Support procurement, vendor management, and ordering of office supplies, equipment, and technology needs.
Continuous Improvement
Support implementation of enterprise systems and process optimization initiatives across Tron Construction & Mining.
Conduct research, compile data, and support business reporting and documentation requirements.
Support special projects and cross-functional initiatives as assigned.
Assist the Project Managers, Project Coordinators and Site Administrators with site supplies needs.
Other duties, as needed.
Qualifications:
Administrative or Office Management diploma/certificate, or equivalent experience.
3-5 years of experience providing high-level administrative support, ideally in construction, industrial, or project-based environments.
Experience in document control or SharePoint environment is a strong asset.
Strong business communication, relationship-building, and stakeholder management.
Excellent writing, editing, formatting, coordination, and organization.
Mastery of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Teams, and SharePoint.
Ability to manage multiple priorities with urgency, accuracy, and confidentiality.
High degree of professionalism, discretion, resilience, and accountability.
Strong problem-solving ability with a continuous improvement mindset.
Ability to independently manage workload in a dynamic environment.
