Adora Bright Pediatric Therapy Services is a multidisciplinary clinic located in Richmond Hill, offering Applied Behaviour Analysis (ABA), Speech-Language Pathology (SLP), and Occupational Therapy (OT) to children and families. Position Summary:



We are looking for a proactive, detail-oriented, and organized

Operations Coordinator

with a strong understanding or prior experience in ABA, SLP, and/or OT environments. This role is essential in ensuring our clinic runs smoothly--from managing front-end interactions and internal operations to supporting clinical staff and maintaining organizational compliance.

Key Responsibilities:



Client & Family Support



Act as the first point of contact for families: answering calls, emails, and in-person inquiries. Explain the basics of ABA/SLP/OT services to prospective families and guide them through the intake process. Send and follow up on consultation forms, intake paperwork, and service agreements. Ensure confidentiality and sensitivity in all interactions with clients and caregivers.

Clinic Operations & Administration



Coordinate therapy schedules (ABA, SLP, OT) and ensure session coverage and room availability. Track client cancellations, make-up sessions, and transition periods with clear communication to families. Maintain up-to-date digital and hard copy files for clients and staff, including consent forms, reports, certifications, and notes. Monitor documentation timelines (e.g., assessment due dates, progress reports) and follow up with clinicians as needed.

Staff & Team Coordination



Onboard new hires: collect onboarding forms, certifications, and ensure compliance with supervision requirements. Support scheduling of staff meetings, supervision blocks, and training sessions. Act as a liaison between administrative and clinical teams to ensure smooth clinic operations.

Billing & Financial Coordination



Track client payments, apply billing codes, and liaise with the finance team to ensure invoices are sent and payments received on time. Support private pay, grant-based, or funding-model inquiries as needed.

Clinic Infrastructure & Compliance



Maintain clinic inventory and order therapy and office supplies as needed. Ensure clinic cleanliness, accessibility, and compliance with safety standards. Prepare documents and ensure compliance with CPBAO and CASLPO guidelines regarding privacy, documentation, and informed consent. Assist in coordinating clinic-wide events, training, or family information nights.

Qualifications:



Minimum 2 years of experience in a clinic, therapy, or child-development setting (preferably ABA, SLP, or OT). Education in Healthcare Administration, Psychology, Behavioural Science, Early Childhood, or related fields preferred. Strong written and verbal communication skills and ability to manage multiple priorities. Proficiency in digital platforms (e.g., PracticeQ, Microsoft Office Suite, Google Drive). Friendly, approachable demeanor with a strong ability to build rapport with families and team members. Understanding of privacy legislation, consent procedures, and documentation protocols in clinical settings.
