Operations Assistant-Markham

(Fixed-Term Contract)




Join our team as an Operations Assistant, to support the coordination and administration of property management operations. In this role, you'll assist operations and maintenance teams to ensure smooth day-to-day operations. Ideal for someone organized and proactive, this position offers the opportunity to contribute to efficient processes across our residential portfolio.

What you will do:

Coordinate Operations/Construction/Development meetings, including agendas, follow-ups, and minutes. Manage superintendent insurance reimbursements and claims, ensuring accurate documentation and cheque processing. Administer, when applicable, annual RentSafeTO invoicing and maintain organized evaluation records. Support departmental projects such as data collection and reporting projects; maintain accurate contract and specification databases. Review and process maintenance invoices, coordinating with Accounts Payable for timely payments. Assist with maintenance and service contract administration and vendor coordination. Maintain updated contract and pricing data to support budgeting and forecasting. Assist in maintaining and developing the internal Development Playbook by coordinating content contributions, revisions, and feedback from internal stakeholders. Provide reception desk coverage and general administrative assistance as needed. Contribute to continuous improvements in operational efficiency and record management.
Who we are looking for:

Post-secondary diploma in Business Administration, Property Management, or related field preferred. Minimum 2 years of administrative experience, ideally within property management, construction, or real estate. Strong proficiency in Microsoft Excel, Word, and Outlook Experience with property management systems is an asset Excellent attention to detail and ability to maintain organized digital records Strong communication and coordination abilities Ability to manage multiple priorities and meet deadlines Proactive, organized, and collaborative approach
