Position Description:



The

Operations and Sales Assistant

plays a key leadership role in overseeing and ensuring the seamless execution of painting projects from start to finish. This role supports and coordinates between the owners, sales, estimating, accounting, and project management teams, maintaining positive client relationships, and ensures that every project is completed to the highest quality standards. This role will be responsible for day-to-day logistics, documentation, scheduling, and communication amongst the team to keep projects aligned with the company's values.

Duties:



Administration and Customer Care



Implement and improve administrative procedures to support daily operations. Manage daily office operations, including phones, email correspondence, and scheduling. Be the point of contact for clients before, during, and after projects. Manage client feedback, address concerns, and ensure a positive customer experience. Maintain a positive company image through courteous and efficient communication.

Project Management



Maintaining up-to-date project files and documentation. Creating job details, change orders, site maps, work notices, deficiency reports, and maintenance binders. Assist with contracts, permits, and other paperwork.

Sales and Estimation



Assist Sales manager with incoming client inquiries and proposal follow ups to close deals. Coordinate meetings, confirm appointments, and share updates with the estimation team. Assist in proposal and assessment document creation. Complete post-project check ins to encourage reviews and referrals.

Accounting and miscellaneous



Assist with billing and collections. Work with the accountant or bookkeeper to ensure accurate records. Assist with marketing responsibilities. Assist in and attend sales and networking events. Assist with administrative HR tasks. Such as recruitment, onboarding, and training of office personnel. Maintain positive relations with vendors, suppliers, and sub-contractors.
Job Type: Full-time

Pay: $55,000.00-$65,000.00 per year
