POSITION OVERVIEW:
The Operations and Governance Manager helps ensure the overall effective governance, strategic alignment, and operational excellence of CAWIC. This position manages corporate governance, board and committee operations, organizational compliance, volunteer management and administrative functions. This position supports the Board of Directors, manages governance processes, oversees finance and compliance, and contributes to HR and administrative functions. A major focus of this role is volunteer engagement, including recruiting, training, supporting, and appreciating the volunteers who help drive our events, committees, and member programs.
KEY RESPONSIBILITIES:
Governance and Board Support
Manage Board and committee meetings, overseeing agenda development, preparation of briefing materials, minute-taking, and tracking of action items to ensure effective governance and follow-through.
Oversee all aspects of the Annual General Meeting, including reporting, documentation, logistics, voting requirements, and member communications.
Maintain bylaws, governance policies, and related compliance documentation to ensure accuracy and alignment with regulatory requirements.
Maintain tracking of all key performance indicators and assist in communicating metrics to relevant audiences.
Volunteer Engagement
Lead the recruitment, onboarding, and orientation of volunteers for CAWIC committees.
Develop and implement volunteer engagement, retention, and recognition strategies to foster a positive and committed volunteer community.
Manage volunteer records, scheduling, and communication systems to support effective coordination.
Manage and expand volunteer speaking programs, from sourcing opportunities and coordinating schedules to supporting volunteers with materials, guidance, and follow-up.
Develop and manage volunteer recognition program for CAWIC members.
Events and Programs
Lead, supervise, and mentor volunteers involved in events and programs.
Assist events and program staff in evaluating outcomes, gathering feedback, and driving continuous improvement to enhance participant experience and organizational impact.
Define CAWIC processes to allow CAWIC programs and events to achieve full accreditation and industry recognition.
Strategic Partnerships and Community Outreach
Build and maintain relationships with partners, sponsors, and community organizations.
Project manage key initiatives and ensure appropriate tracking and monitoring of all partnership deliverables.
Contribute to partnership agreements, and collaborative projects.
Administration
Oversee daily administrative operations and maintain organizational systems to ensure efficiency and effectiveness.
Manage records, office systems, databases, and communication tools.
Support procurement processes, contract administration, and vendor relationship management.
Finance and Compliance
Support budget planning and financial tracking.
Assist with required ongoing compliance filings and reporting.
Other duties as required.
EDUCATION & EXPERIENCE
8+ years of experience in operations, governance, volunteer management, event coordination, non-profit.
Experience working with boards, committees, or volunteers.
SKILLS & COMPETENCIES
Strong organizational, project-management, and multitasking abilities.
Exceptional relationship-building skills and enthusiasm for volunteer engagement.
Excellent written and verbal communication skills.
Ability to work independently in a small-team environment with varied responsibilities.
Strong attention to detail and comfort with administrative systems, databases, and digital tools.
A service-oriented mindset with willingness to "pitch in" where needed.
