The Portfolio Operations Analyst's predominant responsibilities are to provide support to the 1832 AM team of PMs and Associates in various Back Office duties to ensure client expectations/requests are met in a professional and timely manner, this includes administration of trading requests, quarterly fee processing and quarterly statement processing and delivery as mandated.

Is this role right for you?

  • Administration of debit balances and pending trades ensuring cash requirements are met daily through trade coordination and foreign exchange transactions
  • Daily input and validation of 1832 AM Mutual Fund trades into MPower
  • Review previous day's posted cash transactions from external custodians, post required transactions and investigation of identified breaks
  • Reconcile cash and position in RESP accounts on MPower
  • Coordinate the new account process and setting up accounts within PureFacts, as well as the account closing process, including inputting fees schedules for new accounts
  • Responsible for inputting monthly Dynamic Mutual Funds distributions into PIC MPower to ensure entitlements are processed to client accounts
  • Quarterly Statement generation
  • Ensures all quarterly client statements are run, printed, reviewed and sent to clients on time and adhering to strict quality standards
  • Review the accuracy of client portfolios by running various data clean reports on MPower and investigate and update any discrepancies. This involves extensive review of the MPower and PureFacts databases - review security transactions, cash balances, position reports, pricing, and performance data
  • Calculation and Administration of 1832 AM quarterly management fees using PureFacts
  • Ensures all quarterly fees are calculated, reviewed, approved and processed on a timely basis while adhering to strict quality standards
  • Provide AHOC reporting to clients, senior management, banking personnel and other interested parties using query/report writing tools to accommodate reporting requirements not met by MPower
  • Author/update procedural documents completed to support users (guidelines, training, etc.) and cross train individual members within the team
  • Prioritize workload, monitor volume of work and keep the Manager apprised of any concerns, potential problems, assistance required and general status of routine assignments
  • Monitor, triage and respond to field inquiries directed to the Portfolio Operations Inboxes.
  • Provide back-up support to colleagues within the department by either cross-training or covering vacations/sick days.
  • Maintain direct adherence to the company and Bank security procedures.
  • Performance of other duties as assigned which will enhance the units support capabilities and success
Do you have the skills that will enable you to succeed?
  • 3-5 years of operations experiences and an in-depth understanding of the Canadian Investment Industry.
  • Must be highly motivated with good analytical and problem solving skills
  • Must possess good communication skills, both verbal and written, to provide client support and maintain documentation
  • Strong attention to detail and ability to recognize errors and ensure accurate results
  • Duties are to be conducted in accordance with Bank Standards and manual instructions
Sound knowledge of systems/application and computer technology and strong Excel knowledge
