We are seeking a highly organized and detail-oriented Operations Administrator to support our administrative and operational functions. The ideal candidate will possess strong office experience, excellent communication skills, and proficiency with various software tools. This role involves managing administrative tasks, supporting customer service efforts, and ensuring smooth daily operations within our organization.
Responsibilities
Manage front desk duties, including greeting visitors and handling multi-line phone systems with professional phone etiquette
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Assist with filing, document proofreading, and organizing administrative files to ensure easy retrieval and compliance
Support customer service initiatives by responding to inquiries and providing customer support via phone and email
Handle clerical tasks such as scheduling appointments, managing calendars, and coordinating meetings
Support bookkeeping activities, including basic bookkeeping and record reconciliation
Maintain organized office environment and assist with general administrative duties as needed
Support medical or dental office operations if applicable, including patient check-in/out and appointment scheduling
Requirements
Proven experience in office administration or clerical roles; experience in medical or dental offices is a plus
Proficiency with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and basic computer skills
Strong organizational skills with attention to detail; ability to multitask efficiently in a fast-paced environment
Excellent communication skills, both verbal and written; professional phone etiquette required
Experience with data entry, proofreading, filing systems, and front desk operations
Ability to handle multi-line phone systems and provide exceptional customer service/support
Strong typing skills with accuracy; familiarity with bookkeeping or basic financial recordkeeping is desirable
Prior experience in medical or dental office environments preferred but not required
