Vaughan is your place to grow.Position OverviewResponsible for achieving high operational effectiveness to maintain a superior citizen experience to citizens and staff. Directly reports to the Manager of Business and Citizen Experience, assists as a backup, to the Operations Administrative Team Leads, as required. Develops and maintains relationships with internal staff from Parks, Forestry & Horticulture Operations Department, Transportation, Fleet Maintenance Services Department, Environmental Services and Service Vaughan. Conducts research, liaise with internal/external resources to deliver service excellence on all inquiries. Provides support on all day-to-day operations, seasonal changes to services, programs, activities, coordinates and communicates trending/emergency issues for the department.Creates, updates, and reports on accomplishments, services, activities and programs provided by the department. Provides input into development and execution of seasonal/annual projects, programs, all operational data collection, reports generated for overdue Case Management Tracking (CRM) and JDE tickets/work orders to achieve continuous improvement.Please note this position requires the successful candidate to work on-site 5 days\' a week at the Joint Operations Centre (2800 Rutherford Road).Qualifications and ExperienceQualifications and Experience

  • Successful completion of a University Degree or three (3) year College Diploma in Business Administration or suitable equivalent.
  • Three (3) years senior administrative experience in a customer service/operations environment.
  • Basic knowledge and training in Lean Belt (white belt) with active training in working towards problem solving, adding efficiency and continuous improvement and innovation.
  • Proficient key boarding skills with thorough working knowledge of Microsoft Office Suite (Teams, OneDrive, SharePoint, Word, Excel, Power Point, Outlook), Adobe, CRM database, JD Edwards, AMANDA system, Pontem system, Versatile Enterprise and any other Operations related database and software applications.
  • Proven time management and organizational skills coupled with strong attention to detail.
  • Ability to work independently as well as in a team environment.
  • Demonstrated ability to provide high quality customer service with the competency to understand and respond in a fair and expedient manner utilizing problem solving skills, tact, and diplomacy in a fast-paced environment.
  • Excellent interpersonal and clear communication skills both oral and written with a demonstrated commitment to excellent customer service.
  • Proven record in tracking customer issues, presenting data and making recommendations, including analyzing problems and formulate solutions involving appropriate resources and communicating effectively.
  • Must be able to multi-task while remaining fluid/adaptable to changing needs of the department and the city.
  • Knowledge of, and demonstrated ability in, the city\'s core competencies and relevant functional competencies.
  • Ability to deal professionally and effectively with the public and all levels of staff and members of Council, exercising patience and active listening skills.
