We are looking for an Office & Show Home Administrator who shares that same care. Someone who is organized, welcoming, steady, and able to bring structure to a busy, meaningful workflow. This role is primarily based in the office, with some involvement in the show home and with clients during selections, milestones, and closing preparations. Your work helps clients feel seen, supported, and confident. You'll be part of a team that values calm coordination, follow-through, and genuine connection.

Your Responsibilities



Office & Administrative Coordination (50%) - Calgary

Manage scheduling and calendars for team members and client appointments Organize digital and physical project documentation in a clear, accessible way Prepare contract packages, change orders, and supporting documents with care and precision Review contracts for completeness, consistency, and clarity before final sign-off Ensure signatures, revisions, and documentation are properly tracked and stored Coordinate communication between the office, design team, trade partners, and vendors Support the selections and build process by tracking decisions, follow-ups, and outstanding details
Showhome & Client Experience (50%) - Chestermere Community

Welcome visitors, realtors, and prospective clients in a warm, professional manner Share the Brilliance Homes journey -- helping clients understand the process and what to expect Assist in selections meetings by taking notes, organizing documentation, and preparing summaries Keep the show home tidy, staged, and reflective of Brilliance Homes' presentation standards Prepare closing binders and thoughtful possession gifts for clients at handover Support occasional small events, walkthroughs, or community interactions within the show home environment Assist in preparing the space for meetings, walkthroughs, and small community-related events
Permits & Vendor Coordination

Prepare and submit permit applications and developer submissions Maintain tracking logs and follow up as needed with municipalities, architectural partners, and consultants Communicate professionally with vendors regarding orders, timelines, and documentation requests
Who You Are

Warm and personable, with a natural sense of hospitality Organized and reliable, with an eye for detail and good follow-through Comfortable communicating with clients, trades, and team members in a professional, friendly manner Able to manage multiple priorities in a steady, thoughtful way Familiar with Google Workspace or similar software; experience in administrative, real estate, design, or customer support roles is helpful, but we value the right attitude and readiness to grow just as much

Job Type: Full-time

Pay: $20.00-$25.00 per hour

Expected hours: 40 per week
