The Office Services Concierge will provide support to the site with operational activities in maintenance and operations, accounting and finance, vendor oversight, equipment and supplies, occupancy services and helpdesk.

The Office Services Concierge will be a dynamic resource who will support our Shared Services and Concierge team in Cambridge and Toronto to organize and perform a full range of shared services and facilities duties that require a thorough understanding of established functions, policies, and procedures.

This role will be based within Cambridge Ontario\xe2\x80\x99s head office but will be expected to travel to a Toronto on an as-needed basis to support as a backup to our Toronto Office Concierge.

As a Office Service Concierge, you will drive:

Office Services

Assist with reception duties including greeting visitors and accepting deliveries

Greet visitors, answer or redirect general inquiries in person, by telephone and via email and respond independently to

Utilize discretion and judgment to screen visitors and telephone calls, and notify appropriate personnel

Support the planning, coordination, setup and clean-up of a variety of events and activities such as training, team events and organizational town halls and meetings.

Recommending and coordinating catering with employees, leaders or our events team

Supplies and Inventory

Maintain office supplies, arranging necessary maintenance and placing supply orders as needed

Monitor and order office supplies.

Source and obtain pricing information for office supplies and equipment.

Open and distribute incoming mail and faxes.

Mail Room and Administration

Collect, verify, and input data into a variety of spreadsheets and databases.

Format, word process, edit, and proofread a variety of documents and materials.

Maintain document filing systems, both electronic and hard copy.

Classify, sort, and file correspondence, records, and other documents.

Update and maintain confidential files and records.

Handle sensitive material in accordance with established policies.

Assemble, copy, collate, and disseminate a variety of documents and materials.

Prepare outgoing mail, faxes, and courier shipments.

Client Relationships

Proactively develop and maintain client relationships ensuring that expected service levels are achieved.

Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators.

Deliver an exceptional quality of service, as reflected by client feedback.

Utilize discretion and judgment to screen visitors and telephone calls, and notify appropriate personnel

Post-Secondary education is an asset

2+ years of relevant experience or a combination of education and experience

Experience in the real estate or facility management sector is an asset

Business/Office Administration Related Program is an asset

Demonstrated proficiency with all applicable software packages including but not limited to MS Windows and MS Office, including MS Word, Excel, Outlook, and PowerPoint

Excellent verbal and written communication skills

Excellent interpersonal and customer service skills

Excellent time management and organizational skills

Must be able to adapt and prioritize, meeting deadlines, in a fast-paced environment

Must operate with a sense of urgency, quickly responding to Stakeholders

Must have a positive, professional attitude

Must be detail oriented

Must demonstrate professionalism at all times

Must be able to work well independently with an ability to work collaboratively with others

Must be able to maintain confidentiality, utilize judgment, and work with minimal supervision
