The Opportunity:
The Office Services Administrator is the first point of contact for employees, visitors, and vendors, responding to inquiries, providing information and creating positive experiences by exceeding expectations with both business and personal interactions. Working closely with the other team members, the Office Services Administrator is responsible for performing a variety of office-related administrative tasks and will play a key role in project coordination and overall office management. This is a full-time position, reporting to the Office & Facilities Manager. The position requires an efficient, organized, detail-oriented professional who can work efficiently and with accuracy on multiple daily tasks and projects. Schedule: Monday to Friday, 8:30am – 4:30pm
What You Will Do:

  • Address day-to-day situations through independent problem solbving or in consultation with the Office & Facilities Manager.
  • Ensures offices are maintained to a high standard. Keeps shared areas clean, organized and operating efficiently, maintaining office equipment in good working order and arrange for immediate repair/servicing when required. Liaise with building management as required.
  • Provide direction and support to office services team
  • Supports and facilitates an agile desk environment for staff with flexible work and meeting spaces.
  • Manage and maintain working relationships and contracts with vendors, suppliers and contractors
  • Assist and play key role in ongoing office relocation initiative
  • Manage floor and furniture plans and inventory lists
  • Provide reception coverage as required, presenting a polite and professional manner when greeting and directing visitors, and responding to in-person and telephone inquiries.
  • Provides basic technical support and troubleshooting assistance such as connecting to and configuring video conferencing equipment, etc.
  • Various office administration duties such as ordering office supplies, manage employee parking, catering for meetings and overseeing off site records storage
  • Assist with organizing corporate social events
  • Understand key corporate policies such as fire safety plan, safety and security, emergency procedures, etc.

  • Ability to work independently and as part of a team; interact with internal and external contacts and respond to and follow up on their requests
  • Self-motivated with ability to prioritize, multi-task and demonstrate excellent time management and customer-service skills
  • Excellent communication skills and interpersonal skills to work with the staff and clients
  • Ability to be adaptable and flexible and work independently and problem solve
  • Team player with strong collaboration skills

Who You Are:
  • High School diploma supplemented with post-secondary courses
  • 3 - 4 years related experience
  • Relationship Skills - Ability to communicate effectively and professionally, both oral and written; ability to develop and sustain cooperative, positive working relationships
  • Organizational/Multi-Task Skills - Ability to allocate one’s time effectively, work under pressure and manage deadlines; ability to handle multiple demands and competing priorities, and adapt to new ideas and constant changes
  • Computer Skills - Strong skills in Word and Excel; minimum typing speed of 40 wpm
