A.M.A. is growing and we are looking for office support to ensure seamless day-to-day operation. We are seeking a motivated and detail-oriented Office Resource Assistant to join our team. The ideal candidate will play a vital role in ensuring the smooth operation of our office by providing clerical support and assisting with various administrative tasks. This position requires strong organizational skills, proficiency in computer applications, and excellent phone etiquette. This is a full-time, permanent position. Works hours are in-house, Monday to Friday, 8am-5pm.

Responsibilities
Reception
Perform general clerical duties, data entry, and maintaining organized records.
Manage front desk operations greeting visitors and directing them appropriately.
Answer phone calls professionally, providing information and assistance as needed.
Document and communicate customer inquiries to the appropriate team member.
Keep lobby, staff room and board room table clean and ready to use.
Perform general office duties as required.
Customer Service
Data processing; input quotes/orders into Sage program
Process walk-in and pick-up orders
Customer calls when orders are ready for pick-up
Research and address customer issues/complaints/inquiries with Manager
Administration
Create and update records
Assist sales staff with processing orders from start to finish
Process all courier shipments
Send out samples and information packages
Assist in producing marketing pieces as needs
Photocopier use, phone systems, resolve equipment-related malfunctions and respond to requests and issues
Short-term projects
Utilize Google Suite for documents creation, scheduling, and communication
Assist with the preparation of reports and presentations as required
Maintain office supplies inventory and place orders when necessary
Support team members with administrative tasks to enhance workflow efficiency
Qualifications
Previous experience in an office or clerical role is preferred but not required
Proficiency in computer applications
Strong organizational skills with the ability to manage multiple tasks simultaneously
Excellent phone etiquette and interpersonal skills for effective communication
Ability to type accurately and efficiently
A proactive attitude with a willingness to learn and adapt in a fast-paced environment.
