We are looking for a highly organized Office Project Coordinator to manage day-to-day administrative and project coordination tasks. This role supports sales, production, installers, and suppliers to ensure projects run smoothly from order to installation.
Duties
Coordinate window & door projects from order to installation
Track orders, production schedules, and delivery dates
Communicate with clients regarding timelines, updates, and confirmations
Liaise with suppliers, factory, installers, and internal staff
Prepare and manage contracts, invoices, purchase orders, and deposits
Update project status in CRM / spreadsheets
Schedule installations and service calls
Handle emails, phone calls, and general office administration
Assist sales team with quotes, follow-ups, and documentation
Experience
1-3 years experience in office coordination / project coordination
Experience in construction, windows, doors, or renovations is a strong asset
Strong organizational and multitasking skills
Excellent communication skills (English required; Ukrainian/Russian is an asset)
Proficient with Excel, email, and basic office software
Ability to work under deadlines and manage multiple projects
