We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong administrative skills, exceptional communication abilities, and a knack for team management. This role is crucial in ensuring that our office runs smoothly and efficiently, supporting both staff and clients alike.
Key Responsibilities:
Payroll Administration
- Ensure accurate and timely payroll processing for all employees
Bookkeeping
- Maintain accurate financial records and coordinate with accounting professionals
Government Remittances
- Manage all CRA remittances, WSIB, HST filings, and related reporting
New Employee Setup
- Prepare and maintain employee onboarding and hiring packages
Staff Oversight
- Supervise office staff and ensure compliance with company policies and safety procedures
Permit and Compliance Management
- Ensure all systems, licenses, and permits remain current and compliant
Fleet Tracking
- Oversee company vehicle records, maintenance schedules, and GPS tracking
Insurance Management
- Handle policy renewals, claims, and insurance documentation
Union Documentation
- Prepare and submit union reports, deductions, and remittances accurately and on time
Security Clearance
- Bruce Power security clearance is considered a strong asset, will need to obtain either way.
Employee Training Records
- Track certifications, safety training, and renewal schedules
Bruce Power Onboarding/Offboarding
- Coordinate required documentation and processes for Bruce Power site access
Additional Duties
- Support senior management with administrative tasks and project coordination as required
Requirements
Proven experience in an administrative or office management role is preferred.
Strong understanding of payroll, bookkeeping, and government reporting requirements
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent communication skills, both verbal and written, to interact with diverse teams and clients.
Experience in training development and team management is highly desirable.
Proficiency in clerical tasks such as filing, data entry, and document preparation.
Familiarity with human resources processes is a plus.
Ability to work independently as well as collaboratively within a team environment.
Ability to handle confidential information with discretion
Proficiency in MS Office, accounting software - QuickBooks
