Office Manager
to join our growing team. Position: Office Manager
Key Responsibilities
Warmly greet and welcome clients, ensuring every interaction is professional and positive
Provide outstanding customer service by responding to phone and email inquiries promptly and courteously
Manage appointment scheduling and calendar coordination using JaneApp (training provided)
Maintain accurate and up-to-date client records and files
Assist with billing, payment processing, accounts receivable, and daily reconciliation of deposits
Manage payroll (training provided) and maintain accurate financial records with confidentiality
Coordinate with therapists and staff to support smooth clinic operations
Maintain privacy and confidentiality in compliance with PHIPA standards
Ensure reception and common areas are clean, organized, and welcoming
Oversee supply ordering, inventory management, and office tidiness
Identify opportunities to improve office systems and workflows
What We're Looking For
Exceptional customer service and professional communication (phone, email, in-person)
Experience handling a high volume of client inquiries and scheduling
Strong organizational and multitasking skills in fast-paced environments
Proficiency with Word, Excel, Google Drive, and ability to learn new software quickly
Experience with financial reconciliation, invoicing, or insurance claims
Knowledge of PHIPA standards and experience handling sensitive information with discretion
Ability to remain calm, resourceful, and professional in urgent or sensitive situations
Problem-solving mindset with initiative to streamline systems and processes
Positive, approachable, and team-oriented attitude
Able to lift heavy items like a case of water up a flight of stairs
