Office Manager
to join our team. This role is ideal for an experienced brokerage professional who is passionate about leadership, client relationships, and building new business initiatives within a supportive and collaborative environment.
Job Summary
We are seeking an experienced Office Manager to oversee all administrative operations within our brokerage. You will establish and maintain office policies, supervise support staff, and ensure that client service and policy processing run smoothly. The ideal candidate is highly organized, proactive, and knowledgeable about the insurance industry.
Key Responsibilities
Implement office systems and filing procedures to keep paper and digital records organized.
Lead and support administrative staff to ensure consistent adherence to company procedures..
Coordinate travel, meetings, and events for team members.
Ensure that employee/brokers licenses (e.g., RIBO) are renewed on time.
Build and maintain strong, professional relationships with insurers, underwriters and producers; assist with renewals, claims follow-ups, and special projects.
Support cross-selling and upselling initiatives in collaboration with the sales team.
Assist in the design and delivery of training programs; track industry trends and implement process improvements.
Manage a portfolio of existing
House Accounts
, including:
+ Conducting annual account reviews.
+ Providing expert guidance and tailored recommendations for each client.
+ Remarketing accounts as needed.
+ Addressing payment issues, and identifying opportunities for cross-selling and up-selling
Qualifications
Minimum of 3 years of office management experience in an insurance brokerage or similar environment.
RIBO license required; university or college education in Business or a related field preferred.
Strong understanding of insurance products, compliance requirements, and basic accounting.
Experience with insurance management software (e.g., EPIC and Applied Rater) and MS Office.
Excellent communication, problem-solving, and customer service skills.
Highly organized, detail-oriented, and able to manage multiple tasks and priorities.
Sales or underwriting experience is an asset.
Bilingual proficiency in English and Mandarin
; ability to serve clients in both languages is highly desirable.
