Communities Economic Development Fund, lead entity for the delivery of the Look North Initiative is recruiting an Office Manager, for its head office based in Thompson, MB.
We are seeking a meticulous and organized Office Manager to join our team. This role works closely with the CEO and CFO and is vital in managing office operations and overseeing program management processes.
Key Responsibilities:
Loan Review:
Participate in loan submission reviews with the Management Review Committee, record minutes, and distribute them.
Delinquency Review:
Participate in delinquency review meetings and monitor clients to get loans back on track.
Client Communications:
Ensure all communications with clients are copied and tracked in electronic and paper client files.
Supervision Records:
Review Records of Supervisions with CFO and CEO.
Legal Follow-up:
Work on files for business and fish clients dealing with legal team .
Board Meetings:
Prepare for board meetings, attend, take minutes, and manage board binders and files
Staff Attendance and Records:
Monitor staff attendance records, including sick days and vacation.
Employee Files:
Maintain personal and payroll files for all employees.
Payroll Processing:
Process payroll and ensure required remittances are completed (Pension, Union Dues, etc.).
Year-End Processing:
Complete year-end processing for T4s, pension reporting, and other related tasks.
Reporting:
Submit reports to appropriate agencies, including fleet vehicles, tendered contract reports and Stats Canada payroll reports.
Building Maintenance:
Oversee building and maintenance tasks such as snow clearing, lawn care, repairs, and garbage/recycling pick-up
Annual Reports and Audits:
Assist with the preparation of annual reports and audits.
Invoices:
Provide emailed invoices to admin for recording and approval.
FIPPA Coordinator:
responsible for analyzing and interpreting requests for information received under The Freedom of Information and Protection of Privacy Act (FIPPA)
Travel:
Oversee staff and board travel requirements.
Archiving:
Maintain archiving supplies, schedules and handle requests.
Additional Duties:
Perform other duties as assigned by the CEO and CFO.
Qualifications:
Proven experience in office management role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in payroll software and Microsoft Office Suite.
Attention to detail and accuracy.
Ability to handle confidential information with discretion.
