Established in 1987, the Single Parent Association of Newfoundland & Labrador (SPANL) empowers families across the province by providing single parents with the support necessary to regain control over their lives for the empowerment of themselves and their children. Having experienced substantial growth, we're adding an Employment Services Specialist to our driven, energetic team.

The

Office Manager

is a vital member of our team, serving as a key link between clients, staff and external partners. In this role, you'll ensure the smooth day-to-day operation of the organization - balancing front-line client support with behind-the-scenes coordination. From managing vendor relationships and overseeing office systems to assisting with program delivery, you'll be the organizational anchor that keeps everything running efficiently.

What will you do in this role at SPANL?



Serving as the first point of contact for client inquiries via phone, email, and in-person visits--ensuring respectful, timely, and comprehensive support.

Providing information, resources, or referrals to other community-focused organizations as needed.

Overseeing daily office operations and ensuring compliance with internal policies and procedures.

Managing relationships with external vendors and contractors for office supplies, services, and facility maintenance.

Ensuring vendor services align with SPANL's evolving needs.

Developing and implementing efficient office procedures and systems to enhance productivity and workflow.

Supporting financial operations, including processing invoices, adhering to budgets, and managing basic bookkeeping tasks.

Collaborating with the Programs Manager to support program delivery and logistics.

Assisting single parents with program registration and acting as a primary point of contact for related inquiries.

Maintaining accurate and up-to-date office records and filing systems.

Creating, managing, and reporting on internal data, including weekly, monthly, and quarterly KPI tracking.

Ensuring the confidentiality, integrity, and proper management of all internal data.

Coordinating day-to-day administrative tasks such as courier/postage services, internal communications, and program logistics, and

Other duties as reasonably required.

What makes you the best fit for SPAN?



- Completion of post-secondary education in Office Administration, coupled with a minimum of 2+ years of office management experience;

- Unmatched MS Office skills (Excel, Word, PowerPoint, Outlook) with a strong emphasis on Microsoft Excel

- A positive and energetic attitude with a drive to help others;

- A strong attention to detail, ensuring program delivery is in place to assist others, while still complying with internal program requirements;

- Experience reporting on KPIs in a professional setting, with the ability to communicate results different based on various types of audiences;

- Previous experience in working with Accounts Payables on vendor contracts and invoices;

- The ability to multitask and prioritize work in an ever-changing environment - around here, priorities can shift by the hour and our team must adapt accordingly;

- A true team player, you're best suited for a collaborative environment, but also have the ability to work independently

- Experience working in community outreach or nonprofit organizations is considered an asset

- Certificate of Conduct with Vulnerable Sector is required
