As we continue to expand, we are seeking a
strategic and forward-thinking Office Manager
to lead our administrative operations, strengthen internal processes, enhance the patient journey, and support the overall growth of the clinic. Key Responsibilities
Client Experience & Front Office Leadership
Lead by example in delivering elevated, personalized service across all patient interactions - whether in-person, by phone, or digitally.
Act as the primary liaison for patient communication, appointment coordination, and service inquiries.
Create a welcoming, and professional clinic atmosphere that reflects the Uplift brand and values.
Implement systems and solutions that refine front desk operations and optimize the patient experience.
Operations & Clinic Management
Oversee all aspects of daily operations, including staff scheduling, patient flow, administrative support, and clinic upkeep.
Ensure operational efficiency through continuous evaluation and improvement of workflows and processes.
Maintain accurate and confidential patient records in full compliance with PHIA regulations.
Collaborate with the leadership team to develop and execute strategies that support clinic scalability and future growth.
Inventory & Supply Chain Management
Proactively manage inventory levels of skincare products, injectables, and operational supplies.
Lead cost-control initiatives to ensure operational efficiency and minimize waste.
Implement inventory forecasting systems to support consistency and growth.
Marketing & Social Media Strategy
Execution of our digital presence - creating, scheduling, and publishing content across platforms (Instagram, TikTok, Facebook, etc.) aligned with brand strategy.
Collaborate with the clinical team on promotional campaigns, seasonal offers, and educational content.
Analyze performance metrics and engagement data to optimize content strategy.
Stay current on industry trends to inform creative and marketing decisions aligned with brand standards.
Team Development & Leadership
Lead and mentor administrative team, fostering a culture of accountability, collaboration, and excellence.
Assist with recruitment, onboarding, and staff development to ensure a skilled and cohesive team.
Serve as a critical bridge between clinical and administrative staff, facilitating clear communication and shared goals.
Champion a growth-focused mindset across all aspects of the clinic.
Required Qualifications
Minimum
2 years of office management experience
in a fast-paced, service-oriented setting.
Proven experience in
social media and marketing
, including content creation and performance analysis.
Strong organizational and problem-solving skills with a sharp eye for detail.
Excellent interpersonal and communication skills - both written and verbal.
Proficiency in key digital tools including Google Workspace, Canva, Instagram, and other social platforms.
Preferred Qualifications
Previous experience in the
medical aesthetics, dermatology, or wellness industry
.
Familiarity with practice management software or patient CRM systems.
Working knowledge of skincare treatments, injectable services, and cosmetic procedures.
