We are seeking a highly organized and proactive Office Manager to oversee and assist our daily office operations within our reception area of clinic. The ideal candidate will possess strong administrative skills, experience in office management, and the ability to lead a team effectively.
A huge bonus if the applicant has experience in a paramedical office such as massage therapy, physiotherapy, chiropractic or other including direct billing to insurance companies.
This role is crucial for maintaining a productive work environment and ensuring that all office functions run smoothly. The Office Manager will be responsible for managing receptionists during shifts, handling complaints and requests, submitting product and item orders, tracking insurance, processing WCB and SGI, handling day to day phone calls and bookings, ensuring day to day cleaning and reception tasks stay completed and more.
Starting wage is dependent on experience, and re-negotiated after 3 month probationery term is completed. Full and immediate private health insurance benefits are included in the position. Please note due to the requirements of this position it is not suitable for those seeking casual/part time hours, have another position currently, or are attending school.
Expected start time is the first week of November but can be negotiated.
Duties
Manage day-to-day office operations, ensuring efficiency and effectiveness in all processes.
Supervise administrative staff and provide training & development opportunities to enhance team performance.
Oversee schedule management and calendar coordination for executives and team members.
Handle vendor management, including negotiations and maintaining relationships with service providers.
Manage payroll processes and ensure accurate bookkeeping practices are followed.
Assist with budgeting activities to monitor expenses and optimize resource allocation.
Plan and coordinate company events, meetings, and other activities as required.
Maintain filing systems for important documents while ensuring compliance with organizational policies.
Provide front desk support including managing multi-line phone systems and ensuring excellent phone etiquette.
Facilitate communication across departments to promote collaboration and efficiency.
Experience
Proven experience in office management or a similar administrative role is essential.
Familiarity with QuickBooks or similar accounting software is preferred.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written, are necessary for effective interaction with staff and vendors.
Experience in human resources functions such as recruitment, onboarding, and employee relations is a plus.
Background in medical office management or related fields is advantageous but not required.
