(What You'll Do):

We are looking for a personable, positive, motivated, and highly organized person to join our team as a full-time Office Manager. The successful candidate will support the efficient functioning of the firm. At a broad level, this includes things such as managing communications, organizing meetings, maintaining records, preparing legal documents and assisting colleagues as needed.

Responsibilities (How You'll Do It):

• Be the central hub for office operations by managing communications, triaging inquiries, and ensuring that all client interactions and legal documentation are properly recorded and organized.
• Support scheduling and administrative coordination by managing the owner's calendar, overseeing client intake, and ensuring smooth file opening/closing and document processing.
• Ensure office efficiency and organization by maintaining records, managing office supplies, coordinating real estate transactions, and troubleshooting office needs.
• Oversee financial and client account processes by handling invoicing, basic bookkeeping, and monitoring accounts receivable while ensuring clients remain in good standing.
• Lead office communications and reporting by attending meetings, drafting estate planning documents, compiling reports for lawyers, and ensuring timely updates on office activities and deadlines.

Requirements (You Must Have):

• Current or past experience working in a an Office Manager (or equivalent) role
• Proven experience in administrative support, where former colleagues would describe you as a strong communicator
• High organizational capabilities with strong attention to detail: you have excellent grammatical and proofreading skills
• A track record of "getting things done" - sometimes even solving problems before they materialize
• Advanced computer skills, including experience with softwares such as Microsoft Office, emailing tools and basic office administration softwares such as DocuSign
• Proficient typing skills
• Knowledge of document and record keeping procedures, and the ability to deal with confidential and sensitive information
• Proficiency in task and time management, seeking out tech-forward tools and solutions to improve processes
• Highly emotionally intelligent, with a high degree of honesty, integrity, and care

Bonus Points (You Might Have):

• Former experience in a law firm or other professional services firm
• Experience as a legal assistant or equivalent role in a law firm
• Experience with common legal software (Clio, PC Law, Soluno) or trust accounting software
• Experience supporting legal sole practitioners
• Experience working in a female-led organization
• Experience in environments that require strong social awareness and empathy

• Hourly rate between $28 - 31/hr (depending on experience and qualifications)

Pay: $28.00-$31.00 per hour

Expected hours: 32.5 - 35 per week
