About the Role



We are seeking a highly organized, proactive, and detail-oriented Office Manager to support both senior leadership and day-to-day office operations. This role blends high-level executive support with hands-on office management, ensuring that the CEO and COO can remain focused on strategic initiatives while the office runs efficiently and professionally.

The ideal candidate is resourceful, adaptable, and exceptionally reliable--someone who can anticipate needs, maintain structure, positive work culture, support projects, and keep operations flowing smoothly. This position handles sensitive information, coordinates across teams, and plays a critical role in strengthening company-wide communication and productivity.

What You'll Do



Executive & Administrative Support

Calendar & Scheduling Management: Maintain and prioritize personal and work calendars for the CEO and COO, ensuring optimal time allocation and minimal conflicts. Meeting Preparation & Follow-Up: Organize meetings, prepare agendas, compile briefing materials, record minutes, assign tasks, and track completion. Communication Support: Draft, edit, and proofread emails, presentations, reports, and internal communications on behalf of executives. Inbox & Document Management: Organize inboxes, flag priority items, maintain filing systems, and manage version control. Confidential Support: Handle sensitive and confidential information with professionalism and discretion. Travel Coordination: Book travel, accommodations, and transportation; prepare itineraries and manage schedule changes.
Project Coordination

Support cross-functional initiatives by monitoring timelines, gathering updates, and coordinating directly with team members. Task team members after project meetings and ensure action items are completed. Track progress on key company initiatives and provide updates to leadership. Assist in project research, documentation, and preparation of presentations or reports.
Office Operations & Facility Management

Be the heartbeat of the office -- ensure the space is clean, organized, functional, and welcoming. Manage office supplies, equipment, and inventory; coordinate vendor orders and deliveries. Serve as the primary point of contact for building management, maintenance providers, and office service vendors. Maintain shared spaces, meeting rooms, and workstations to ensure they are prepared for team or client use. Handle general office logistics.
People & Culture Support

Provide support of staff regarding office needs, equipment, and scheduling. Coordinate in-office events, training sessions or team activities. Assist with onboarding and off boarding by preparing workstations, accounts, and supplies. Help maintain a positive, professional, and organized workplace culture.
Process, Systems & Compliance

Develop and maintain office systems, Standard Operating Procedures, and organizational standards. Ensure compliance with safety procedures and maintain emergency response materials. Assist with internal documentation, templates, and operational workflows. Manage annual renewals, corporate filings, and compliance deadlines as assigned.
Finance & Operational Support

Process executive and office-related sales and expense reports. Assist accounting with vendor invoices, approvals, and coordination. Track and monitor office budgets, subscription renewals, and operational expenses. Prepare materials for board, investor, or leadership review when required.
Personal & Executive Wellbeing Support

Schedule personal appointments that overlap with work commitments. Run occasional personal errands during work hours. Manage executive memberships, subscriptions, and renewals. Organize recognition items, gifts, or special events for clients and partners.

Education & Experience Requirements



5+ years of experience in office management, executive support, or administrative operations. College or University level education Strong proficiency with Mac computers and Google Workspace. Experience with collaboration tools (e.g.CRMs). Exceptional organizational, communication, and time-management skills. Ability to manage multiple priorities with discretion, initiative, and calm under pressure.
