Job Description

Reporting to the Band Manager, the Health Clinic Office Manager plays a critical role in supporting the day-to-day operations of the community health clinic. This position is responsible for ensuring the smooth functioning of non-clinical services and supervising all non-professional staff including janitorial, homemaking, Medical Office Assistant (MOA), and general support staff. The Office Manager will also coordinate facility maintenance, manage supplies, and provide logistical support for programs and events. This role supports a trauma-informed, culturally safe, and efficient environment for staff and community members accessing services.

What you will do



As the Office Manager for the Health Clinic, you will:

Supervise and support staff



Provide daily supervision and scheduling of non-professional staff (janitorial, homemaking, MOA, and support staff) Facilitate regular team check-ins to address needs, conflicts, or workflow issues

Manage facilities and supplies



Maintain and monitor inventory of office, medical, and cleaning supplies

Place timely orders for essential supplies and equipment

Coordinate maintenance and repairs with external contractors or Band Operations as needed

Oversee basic building hygiene, safety, and sanitation in collaboration with janitorial staff

Coordinate administration and logistics



Coordinate logistics for community health events, visiting professionals, training sessions, and clinics Maintain up-to-date records of supplies, vendor contracts, and service agreements Support clinic organization (filing systems, room use schedules, MOA task lists, etc.) Ensure that shared spaces are well-maintained and that staff have necessary tools to complete their work

Support communication and community relations



Act as the primary point of contact for non-clinical inquiries related to operations

Support communication between clinical and non-clinical teams to ensure efficient service delivery

Collaborate with the Health Director and Clinic Leads to implement new operational procedures

Carry out other related duties as required and requested



Required



Education or equivalent:Minimum 2 years experience in office management, administrative coordination, or team supervision Operations*: Excellent organizational and problem-solving skills; ability to work independently and manage multiple priorities
People, relationships, & communications:Strong interpersonal and communication skills; Indigenous experience*: Experience working in Indigenous communities or with culturally diverse populations
Personal attributes*: Respectful, collaborative, and accountable; community oriented with a strong sense of responsibility; flexible and adaptive in a fast-changing environment; able to maintain confidentiality and professional boundaries
Certifications & checks*: Clear Criminal Record Check, including the vulnerable sector

Preferred



Experience in a health care or clinical setting

Knowledge of inventory systems and basic budgeting

Familiarity with trauma-informed or culturally safe practices

Job Types: Full-time, Fixed term contract
Contract length: 6 months

Pay: $40.00-$55.00 per hour

Expected hours: No more than 35 per week
