Overview


We are seeking a highly organized and detail-oriented Office Manager to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing exceptional customer support, and managing various administrative tasks. This position is perfect for someone with experience in a HVAC office environment who thrives in a fast-paced setting.

Duties



Oversee daily office operations and ensure efficiency in all administrative processes. Manage front desk activities, including answering phone calls using multi-line phone systems, Scheduling appointments using CSR system. Maintain organized records and files, ensuring accuracy in data entry and documentation. Provide exceptional customer support to clients, addressing inquiries and resolving issues promptly. Utilize Microsoft Office for document creation. Utilize House Call Pro for scheduling, and communication with team members. Perform proofreading of documents to ensure clarity and correctness before distribution. Assist with clerical tasks such as filing, scanning, and organizing office supplies. Collaborate with Senior staff to ensure seamless work flow and appointment scheduling within the office.

Requirements



Proven experience as an Office Manager or similar role, preferably in a HVAC office setting. Strong organizational skills with the ability to manage multiple tasks simultaneously. Proficiency in Microsoft Office applications (Word, Excel SpreadSheets, Outlook and Outlook Calendar) is essential. Excellent communication skills, both verbal and written, with a focus on customer service. Familiarity with computerized phone systems and front desk operations is preferred. Attention to detail with strong proofreading abilities to maintain high-quality documentation. Ability to work independently as well as collaboratively within a team environment.
