Letts Law is seeking a highly experienced and organized Office Manager to support and oversee the operations of our dynamic family law practice. This role requires a professional background in human services and legal administration. The successful candidate will supervise daily office functions, coordinate client services, and support legal professionals in matters involving parenting, domestic violence, and family dynamics.
Applicants must be capable of traveling to remote locations and working evenings and weekends on short notice. Remote work is not available for this position.
Key Responsibilities

- Supervise and coordinate activities of administrative staff and legal assistants
- File legal documents with the court and maintain compliance across all client files
- Schedule court appearances, client meetings, and internal deadlines using a master calendar system
- Oversee all office supply inventory, vendor management, and document systems (electronic and physical)
- Draft and implement policies, office systems, and workflows to optimize efficiency
- Manage billing, invoicing, and financial oversight in compliance with firm procedures
- Use and maintain accounting and finance systems for time tracking, trust accounting, and client billing
- Train, mentor, and supervise student interns and junior staff
- Liaise with Legal Aid Ontario, courts, and external service providers
Client Support

Participate in intake interviews and assist with triaging client needs
- Provide trauma-informed, non-clinical support to clients dealing with family breakdowns
- Support lawyers in preparing parenting plans, timelines, and affidavits
- Liaise between clients and social services (e.g., shelters, mental health supports, addiction services)
Mandatory Qualifications and Education
- Bachelor of Social Work (BSW) or equivalent (required); MSW is preferred
- Completion of law-related courses, specifically in family law and human rights
Minimum 6 years' experience working with high conflict and at-risk families, including exposure to:
- Domestic violence
- Child abuse and parental alienation
- Addiction (alcohol and drugs)
- Mental health conditions
- Exceptional organizational and problem-solving skills under pressure
- Strong interpersonal and communication skills with vulnerable populations
- Experience using legal and office software, AI tools, and accounting/finance systems (e.g., QuickBooks, CLIO, or similar)
- Proficiency in document drafting, cursive writing, and maintaining professional records
- Ability to manage and prioritize a high volume of tasks and sensitive client matters
- High level of discretion, ethics, and professionalism
Additional Requirements
- Valid Ontario driver's license and reliable access to a vehicle
- Willingness and ability to travel to remote locations
- Availability to work evenings and weekends on short notice
