We are seeking a highly organized, proactive, and meticulously detail-oriented Office Manager to be the backbone of our administrative and financial operations. This role is crucial to ensuring the smooth and efficient functioning of our multiple businesses, supporting both our office and restaurant teams.
Job Summary:
The Office Manager will be responsible for a wide range of administrative, financial, and operational tasks across our restaurant entities. This includes daily financial reconciliation, payroll processing, vendor management, permit renewals, and coordinating maintenance schedules. The ideal candidate is a self-starter who thrives in a fast-paced environment, possesses excellent communication skills in both French and English, and is adept at managing multiple priorities with precision.
Key Responsibilities:
Administrative & Daily Operations:
Manage daily mail for all businesses.
Clear and organize the central office email inbox daily.
Travel between Arthurs Dinette (5700 Avenue Monkland) and Arthurs Nosh Bar (4621 Notre-Dame Ouest) regularly to pick up invoices, reports, deposit envelopes.
Maintain accurate records of all business expenses and update missing receipts documentation.
Oversee and coordinate all office-related tasks to ensure efficiency and organization.
Financial Management:
Daily Reconciliation:
Calculate and prepare daily tip sheets.
Reconcile daily bank accounts
File away all receipts meticulously for all entities.
Payroll (Dayforce Powerpay):
Print and review timesheets.
Follow payroll checklist to account for vacations, raises, missing hours, new hires, and terminations, and statutory holidays.
Accurately enter staff hours, bonuses, and Quebec tips paid.
Review and submit payroll on schedule.
Note on Vacation Payroll: During the Office Manager's vacation, payroll responsibilities will be covered by the Director of Operations*
Vendor Management & Payments:
Process and pay vendor invoices.
Loan Payments:
Track and ensure monthly loan payments are made.
Royalties & Consulting Services:
Prepare and send invoices for royalties and consulting services.
Bank Deposits:
Coordinate weekly restaurant deposits.
Bookkeeping & Reporting Support:
Monthly Preparations for Bookkeepers:
Organize and prep monthly folders for bookkeepers.
Maintenance & Permits:
Coordinate and schedule appointments for all general maintenance.
Track and ensure yearly permit renewals.
Liaise with relevant authorities.
Other Responsibilities:
Assist with personal administrative tasks as needed.
Address other ad-hoc office duties as they arise.
Requirements:
Languages:
Fluently bilingual in French and English, both written and spoken.
Transportation:
Valid Quebec driver's license is required. Access to a personal car is highly preferred for travel between locations. (Gas tracking app will be used for mileage notes).
Software Proficiency:
Expert level proficiency in GSuite, Microsoft Office Suite (especially Excel), and Canva. Experience with payroll software (Dayforce Powerpay is a significant asset).
Experience:
Proven experience in an office management or administrative role, ideally within the restaurant or hospitality industry.
Organizational Skills:
Exceptional organizational skills with a keen eye for detail and accuracy. Ability to manage multiple tasks and deadlines efficiently.
Financial Acumen:
Strong understanding of basic accounting principles and financial record-keeping.
Problem-Solving:
Proactive and resourceful in identifying and resolving issues.
Interpersonal Skills:
Excellent communication and interpersonal skills, with the ability to collaborate effectively with various team members (Owners, Head Chefs, FOH managers, bookkeepers, etc.).
