Office Manager
to our friendly, compassionate and experienced team of veterinarians, registered veterinary technicians, and client care professionals. We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure smooth administrative functioning. The ideal candidate will possess strong leadership, communication, and organizational skills, with experience in office management and human resources.
Role
As an Office Manager, you will be responsible for optimizing daily operations, managing inventory, ensuring efficient workflow, fostering team wellness, and developing and maintaining hospital marketing strategies--all to deliver exceptional client experiences.
Responsibilities
Oversee daily clinic operations, including scheduling, staffing, and workflow management.
Provide hands-on support to the front desk and daily operations.
Supervise, train, and support administrative and client service staff.
Assist in recruitment, onboarding, and performance evaluations.
Foster a positive work environment and encourage team collaboration.
Develop, implement, and enforce hospital policies and procedures.
Oversee inventory supplies and clinic maintenance.
Manage billing, invoicing, payroll, and other financial tasks.
Address and resolve client concerns and complaints promptly and compassionately.
Act as a liaison between ownership, veterinarians, and staff.
Support implementation of hospital goals and strategic initiatives.
Support marketing initiatives, social media presence and community outreach programs.
Oversee the use of practice management software and electronic medical records.
Ensure proper documentation and compliance with record-keeping standards.
Requirements
Proven experience in office management, administrative support, or clerical roles with at least 3 years of relevant experience in veterinary practice management or a related healthcare setting.
Supervising experience with team management capabilities.
Proficiency in calendar management tools and multi-line phone systems.
Strong organizational skills with attention to detail in scheduling, filing, and recordkeeping.
Excellent communication skills, both verbal and written.
Ability to handle front desk responsibilities with professionalism and courtesy (phone etiquette).
Demonstrated ability to manage multiple priorities efficiently in a fast-paced environment.
Must possess strong problem-solving skills and the ability to train & develop staff effectively.
Job Type: Full-time
Pay: $27.00-$30.00 per hour
