Reporting to the General Manager, the Office Manager is responsible for performing a variety of administrative and clerical tasks, including providing general support to the ESM Management Team, assisting with the day-to-day operations of the ESM office, and coordinating general administrative activities throughout the office.
Specifically, the Office Manager will...
Answer and direct phone calls
Organize and schedule appointments
Take minutes at meetings as required
Write and distribute emails, correspondence memos, letters, forms, etc., as directed
Sort and deliver the incoming mail
Update and maintain office policies and procedures as directed
Order office supplies and maintain primary relationship with office suppliers
Manage the cleaning company
Maintain office calendar (when people are on & off in the office)
Maintain corporate calendar
+ Monitoring key dates & milestones Manage incoming and outgoing deliveries
Manage/maintain office opening & closing and who has keys
Maintain contact lists as required
Provide general support to visitors
Act as a point of contact for internal and external clients
Oversee all office hospitality, lunchrooms, catering, coffee supplies, etc.
Provide administrative support to the Management Group as required
Assist in close-out documents
Schedule inspections as required
Liaise with the IT Department to manage and maintain mobile phone accounts & technology purchases
Liaise with the Accounting Department
Liaise with Payroll
+ Submit hours for payroll Mastercard reconciliation for senior management
Liaise with Head Office for signatures (corporate documents, contracts, leases, etc)
Liaise with Head Office for insurance

+ Benefits (this might be with the union now) Manage & track fleet vehicles

+ Maintenance Manage the tool tracking program
Liaise with the Safety Department to ensure everything is up to date
Liaise with Marketing - maintain brand consistency
Coordinate with the HR Department on issuing employee contracts
Coordinate Employee Engagement and company swag
Emerging Leaders scheduling
Out of Town work
+ Organize housing
+ Book travel Apprentices:
+ Coordinate with Local 280 with apprentice school
+ Manage apprentice tool program Maintain working relationship with Local 280 Union
Work with Local 280 in securing labour from the Hall
Facilitate onboarding
Maintain a job board with employees job locations are and update HRIS
Maintain HRIS with accurate vacation requests, sick days, documents & timely approvals of time off

Education and Experience
Proven experience in office management and administration.
Previous experience in Financial Accounting or Human Resources is considered a strong asset.
Knowledge of office management systems and procedures
Working knowledge of Microsoft Office
Experience in the construction industry would be considered a strong asset.
Completion of secondary school is required.
Formal education in business administration or business management is considered a strong asset.
Previous experience in unionized environments is considered a strong asset.
Previous experience in the construction industry is considered a strong asset.
Work Conditions

Walking on uneven grounds in construction sites might be required from time to time.

Compensation:
$70,000 to $90,000/year (DOE) + 5% RRSP + 100% Employer-paid Extended Health & Dental benefits package + Life Insurance + LTD + AD&D.
