You strive to provide stellar administrative and operational support to the leadership team. Key Responsibilities
Reception and Office Administration:
Greet and direct all visitors, clients, and vendors in a professional and courteous manner.
Prioritize and triage incoming calls and general email inquiries, ensuring messages are relayed accurately and efficiently.
Maintain office supplies inventory and place orders as needed.
Manage client supply ordering as needed.
Supporting the coordination of building maintenance, office equipment servicing, and liaise with vendors as required.
Keep common areas, including the reception and meeting rooms, tidy and presentable.
Exhibit extreme ownership and accountability on client onboarding/offboarding and electronic filing systems.
Management Team Support:
Provide ad hoc scheduling and calendar support for the management team, including booking meetings and preparing meeting materials.
Assist in the preparation and formatting of reports, presentations, and internal communications.
Support the coordination of logistics for leadership and company-wide meetings and events.
Departmental Contributions:
Actively participate in internal team meetings and contribute to ongoing office improvements.
Offer feedback and suggestions to enhance office workflows, communication, and efficiencies.
Prepare agendas and take minutes for management and administrative meetings as required.

Minimum Qualifications and Skills
5 years experience in office administration or reception
Excellent communication and interpersonal skills, with a client-focused approach.
Strong organizational, multitasking, and time-management abilities.
Proficient in Microsoft Office Suite.
Able to handle confidential information with discretion.
Desired Qualifications
5 years experience in executive-level support.
Bilingual (English/French)
Post-secondary education in Business Administration or a related field (preferred).
Experience supporting executives or management-level staff.
Familiarity with productivity and task management platforms
