Office Manager

Job Summary:



The position is a management position within Compassion HomeCare INC. The office manager reports directly to the Senior Management team which includes CEO, DFO, OM. The overall responsibility of this position is to ensure the effective, efficient, and fiscally responsible management of the designated office.

Duties and Responsibilities:



Implement office policies as directed Establish standards and procedures Organize office operations and procedures Maintains office efficiency by planning and implementing office systems, layouts, and equipment Establish a team atmosphere through leadership and employment development Networking with community partners Engages in Public Relations Maintains continuous lines of communication with other CHC Branch Offices and Head Office Maintain continuous lines of communication between office and field staff by recruiting, selecting, orientating, and training employees Oversees the roles and responsibilities for client safety, keeping the operations manager informed of all critical issues Maintains office and field staff job performances by supervising, coaching, counseling, and disciplining employees, planning, monitoring, and appraising job results Communicate to Home Support Workers the roles and responsibilities for the client safety as defined in position profiles Ensure communication/education is relayed to staff/clients (I.E. Memos, newsletters, educational boards, and in-service education training) Assign and check all office functions Interview new staff when needed Ensure re-orientation is provided for all staff required Document all training provided Evaluate office and field staff performance Track probationary periods and ensure Performance Appraisals are completed after probation in a timely manner Track and check staff leave Documentation of all proper office items Ensure personnel files are up to date and secure Ensure protection and security of files and records Transfer and dispose of records according to retention schedules and policies OH&S Committee Co-Chair Members and all other required committees Oversee all WPNL Claims and work with staff to ensure a speedy Early and Safe Return to Work Ensure WPNL guidelines are followed and kept Ensure monthly reports are completed accurately and are submitted within the given timeframe Ensure Annual reports are completed (Matrix/ Indicators/ Audits). Ensure proper authorization regarding billing Complete correspondence as needed Ensure Billing and Payroll reports are completed accurately and in the specified timeframes Ensure documentation of Accidents/Incidents/Hazard Assessments are completed and ensure proper follow-up is completed Share knowledge and skills with other employees (I.e. In-services, mentoring, orientation, and consultation). Maintain and replenish office supplies by checking inventory levels and verifying receipt of supplies Oversee on-call documents and ensure staff are available to assist on-call personnel as required Organization of annual in-office events (Christmas party, appreciation day) Attendance to annual get-together is mandatory Ensure all office areas are kept clean as needed On-call / Emergency back-up / relief of office staff Monthly review of Care Giver Notes and Flow Sheets. Bring forth any issues to RN Supervisor when necessary Perform other related duties as needed

Qualifications:



High School Diploma Certificates in Secretarial course, computer program, medical terminology or equivalent Demonstrates effective computer skills for job requirements Excellent written and oral communication skills Demonstrates commitment to punctuality Good problem-solving skills Professional telephone manner Neat and organized Tactful and non-judgmental; shows respect for co-workers Ability to prioritize work responsibilities Works independently A team player, proves commitment to keeping a positive work environment Demonstrates an ability to work effectively with others Maintains confidentiality

Experience



Experience in a healthcare or home care setting is an asset Experience with scheduling and coordinating services is preferred Experience with Alayacare or similar scheduling software is an asset Experience in customer service or client care is preferred
This position requires a high level of attention to detail, the ability to handle multiple tasks simultaneously, and a strong commitment to providing excellent client care and service coordination. The ideal candidate will be able to work effectively in a fast-paced environment and demonstrate professionalism and empathy in all interactions with clients, Home Support Workers, and other stakeholders.
