We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This pivotal role combines administrative leadership, team supervision, vendor coordination, and financial management to ensure a smooth, efficient workplace. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive and welcoming office atmosphere. As an Office Manager, you will play a key role in maintaining organizational effectiveness and supporting our team's success.

Duties



Manage overall office operations, including front desk responsibilities, multi-line phone systems, and visitor reception to create a professional and friendly environment. Supervise administrative staff and provide training & development opportunities to enhance team performance. Oversee scheduling management for meetings, appointments, and office resources to optimize daily workflows. Coordinate vendor management activities, including negotiating contracts, managing relationships, and ensuring timely delivery of supplies and services. Handle bookkeeping and bookkeeping-related tasks using QuickBooks or similar accounting software to maintain accurate financial records. Manage payroll processing in collaboration with human resources to ensure timely and accurate employee compensation. Assist with budgeting activities by monitoring expenses, preparing reports, and implementing cost-saving measures. Organize office events and planning activities that promote team engagement and morale. Maintain filing systems, records management, and document control to ensure compliance and easy retrieval of information. Oversee medical or specialized office management tasks if applicable, ensuring regulatory compliance and efficient patient or client service. Support human resources functions such as onboarding new employees, maintaining personnel files, and managing employee relations. Ensure excellent phone etiquette and communication standards across all interactions with clients, vendors, and staff.

Skills



Proven experience in office management or administrative roles with supervisory responsibilities. Strong event planning skills for coordinating meetings, workshops, or company functions. Proficiency in QuickBooks for bookkeeping and payroll processing. Exceptional schedule management abilities to prioritize tasks effectively. Vendor management expertise to negotiate contracts and maintain positive relationships. Knowledge of human resources practices including onboarding, training & development, and employee relations. Experience with budgeting processes to monitor expenses and support financial planning. Excellent organizational skills with keen attention to detail for filing systems and record-keeping. Familiarity with medical office management or specialized environments is a plus. Strong communication skills coupled with professional phone etiquette for front desk interactions. Ability to supervise teams effectively while fostering a collaborative work environment. Competence in handling clerical tasks such as filing, data entry, and document preparation. Pay: $24.00-$32.35 per hour

Expected hours: 34 - 42 per week
