We are a well-established clinic having operated in the Comox Valley for 20 years.
The Role:
As our Office Manager, you are the cornerstone of our clinic's daily operations. You will oversee all administrative functions, manage the front-desk team, and serve as the main point of contact for both patients and staff. Your leadership will be crucial in maintaining a positive, professional, and productive environment.
Key Responsibilities:
Administrative Oversight:
Manage and coordinate all office administrative procedures, ensuring efficiency and accuracy.
Staff Management:
Supervise and mentor administrative staff, including hiring, training, scheduling, and performance management.
Patient Experience:
Ensure exceptional patient service by handling inquiries, managing patient intake, coordinating appointments, and resolving any issues with professionalism and empathy.
Billing and Finance:
Oversee all billing procedures, including processing payments, submitting claims to third-party insurers (e.g., Jane App, Blue Cross), and managing accounts receivable.
Operational Management:
Control inventory of office and clinical supplies, manage office upkeep, light cleaning of the clinic including laundry and coordinate with external services as required.
Communication:
Act as a liaison between the administrative team and clinical staff, facilitating clear and effective communication to support clinic goals.
Compliance:
Ensure the clinic's administrative procedures comply with all healthcare regulations and privacy standards.
Qualifications and Skills:
Proven experience as an office manager or in a similar administrative leadership role, preferably within a healthcare or medical clinic setting.
Experience with clinic management software (e.g., Jane App) is a significant asset.
Exceptional organizational skills and the ability to manage multiple priorities in a fast-paced environment.
Strong verbal and written communication skills with a compassionate and patient-first attitude.
Proficiency with standard office software (Microsoft Office, etc.).
Strong problem-solving abilities and a collaborative, team-oriented approach.
