The Role



The Montreal Office Manager is responsible for providing facility and administrative support to the team as we grow our east coast footprint. We are seeking a polished and compassionate individual who is comfortable working with a diverse group of employees; an individual who prides themselves in being the first point of contact for the Montreal office and can create an organized and efficient office environment for its employees and visitors. This role will be ideal for someone who is multi-faceted and patient and can provide exceptional support to this growing team, many of whom will be, or have recently relocated from our head office in Ukraine. Applicants must be proficient in French and English.

Key Responsibilities

  • Be the first point of contact for the office / answer phone calls and general inquiries.
  • Manage incoming and outgoing mail and parcels.
  • Maintain an organized and clean working environment by tidying and sanitizing common office areas on a regular basis.
  • Maintain kitchen cleanliness, ensure fridges and snacks are clean and stocked, dishwashers are routinely emptied, recycling is sorted, and plants are watered.
  • Maintain efficiency within the office by utilizing the best office policies, standards and procedures.
  • Manage space planning, seating assignments, and office moves for the Montreal office and any other North American offices assigned to you.
  • Support the onboarding processes of new hires, and the offboarding process for departing employees.
  • Provide an office tour for new hires and visitors and show them the office amenities.
  • Organize the activation and deactivation of office access cards as necessary.
  • Organize meetings, and events for your regions in collaboration with our internal events person.
  • Arrange catering for in-office meetings and events.
  • Set up IT/AV for meetings as requested, and troubleshoot system issues as needed.
  • Be the point of contact for the Montreal office WeWork, and any other North American WeWork offices assigned to you.
  • Coordinate purchase orders for office expenditures, track office expenses, and reconcile department credit card.
  • Complete expense reports for senior management.
  • Oversee some aspects fo event management.
  • Other administrative duties as required/assigned.

About You

  • Experienced. You bring in 2+ years of office administration and management experience and event organizing.
  • Service-oriented. You are passionate about providing your stakeholders with top-notch service. You operate with a sense of urgency and are exceptional at prioritizing across a multitude of tasks to meet and exceed service levels.
  • Organized. You have the ability to prioritize workload independently, on a wide variety of tasks with minimal supervision.
  • Detail-oriented. You have excellent organizational skills and attention to detail.

Bonus Points

  • Speak Ukrainian or Russian.
  • Have previous experience working in an Executive Assistant capacity.

Considering that the successful candidate will be required to work and communicate with teams across four countries, three continents and a global customer base on a daily basis, and given that the significant majority of those interactions will take place solely in English, the successful candidate must be fluent in written and spoken English. In order to determine whether the knowledge of the English language was required to hold this position, GeoComply conducted a thorough analysis of its activities and:


  • assessed the actual language needs associated with the duties to be performed by the successful candidate;
  • ensured that the knowledge of English already required from other employees was insufficient for the performance of the successful candidate\xe2\x80\x99s duties; and
  • has restricted as much as possible the number of positions involving duties whose performance requires knowledge or a specific level of knowledge of English.
