Office Coordinator/ with Accounting Experience



This position provides support via assistance in office administration, project coordination, and other accounting tasks. Reporting to the Office Manager / Accountant.

KEY RESPONSIBILITIES:



Administrative Activities



Provide accounting and administrative support to management. Create and update customer files ensuring all the costs are allocated according to. Review employees timesheets on a daily basis. Create, manage, and maintain office documents, and provide support to employees. Order office supplies and kitchen supplies. Ensure a tidy office is maintained. Facilitate the onboarding process for new hires, ensuring all documentation is provided. Perform a wide range of administrative functions including filing, and archiving. Conduct administration, reconciliation and payment processing relating to Visas, employee expenses, and fuel cards. Receive clients' credit card payments via phone calls and updates clients' accounts in QuickBooks. Utilize excellent organizational and communication skills to build and maintain strong relationships with internal and external parties Support company growth by identifying opportunities for process improvements. Support and adheres to financial policies and procedures to maintain appropriate stewardship of company resources. Manage email communication related to office, including responding to inquiries, handling order requests, and resolving issues. Maintain miscellaneous documentation, reports and databases using the current software applications (e.g., MS Excel, Google Drive, etc.).

General clerical and administrative duties as assigned Assisting with vacation relief as needed
This position requires someone who thrives in a dynamic fast-paced office environment. Experience with QuickBooks is a must. Additional qualifications include, but are not limited to:

Minimum 2 year of office administration and accounting experience is preferred. Strong computer literacy including effective working skills in Microsoft Word, Excel. Ability to understand job costing Exceptional attention to detail Ability to handle confidential information with integrity and professionalism. Ability to learn and develop new policies, processes, and procedures. Ability to deal positively and professionally with change and willingness to embrace new working practices, new tasks, and responsibilities. Excellent time management and organizational skills Ability to work fast and meet deadlines
