Reporting to the Executive Director, the Office Coordinator is responsible for administration, basic bookkeeping, event and fundraising support, social media, marketing and other duties as required. The selected candidate will be able to handle a wide range of administrative and executive support tasks, will be extremely well-organized, detail-oriented, and flexible, and will enjoy the administrative challenges of supporting a small office of diverse people and programs. The Office Coordinator's role touches every aspect of the operations and requires a broad range of interests and skills.
RESPONSIBILITIES
Office and operations coordination - Oversee daily office operations and maintain a highly organized, efficient workspace
General administrative duties, including but not limited to answer telephone and email queries, greet visitors, mail, couriers, and maintain office supplies and equipment, including telephones, printer, etc.
Monitor client kitchen duties such as temperature control checks, cleanliness, cleaning solutions, and checking expiration of food items
Maintenance, organization and inventory of storage room, lockers and offsite storage units
Oversee general upkeep of office cleanliness and organization
Oversee and manage the community pantry
Respond to inquiries from the community regarding clothing, furniture donations and work with staff to distribute collected items
Collaborate with Service Navigator on the North House Toy Box program
Social media content creation and updates
Marketing and design for collateral material required for program support such as newsletters, annual report, website updates, brochures etc.
Basic bookkeeping including collecting bills and invoices and all necessary documents for the monthly payment and reconciliation
Prepare month-end reports including: donation reports, reconciling donations received online with donation report
Other financial duties as required including: bank deposits, reconciliation and reporting
Maintain a system to track and report all performance indicators for programs
Responsible for supporting the Executive Director for all community engagement events and fundraising initiatives through planning, logistics, event day and follow-up post-event.
Responsible for all aspects for the Community Volunteer Income Tax Program
Prepare and complete income tax filings for low-income individuals and families
Solicit volunteers to help with tax preparation
Schedule all tax appointments
Coordinate tax clinics including site selection and booking, volunteer scheduling, marketing, partner appreciation and written correspondence
Tracking and reporting of all benefits secured through the completed tax returns
QUALIFICATIONS
3-5 years related experience in an office environment
Computer literacy (Microsoft Office)
Financial management (Quickbooks)
Use of Canva design platform
Use of social media platforms (Facebook, Instagram, X, YouTube and TikTok)
A current police vulnerable sector check is required
SKILLS
Logical, process-oriented, highly organized, with excellent attention to detail
Excellent written and oral communication skills
Good time management with the ability to juggle multiple tasks and deadlines, and prioritize with minimal direction
Strong editing and proof-reading skills
Demonstrated bookkeeping skills
Creative background and an eye for printed design
High degree of tact, professionalism and customer-focused mindset
Ability to troubleshoot, multi-task and solve problems proactively
Knowledge of social services, non-profit governance and municipal government
A valid Ontario driver's license and use of a vehicle
Knowledge of North Durham Region (Uxbridge, Scugog and Brock) an asset
WORK CONDITIONS
Interacts with clients, staff, visitors and staff from other organizations
Intermittent physical activity including walking, standing, sitting, lifting
Able to lift items as heavy as 25 lbs.
Manual dexterity required to use desktop computer and peripherals
Exposure to emotionally traumatic situations
LOCATION
Main office is located in Uxbridge. Office setting with occasional travel with other staff to events or meetings within the Durham Region catchment area.
COMPENSATION AND HOURS
This is a full-time position in-office with regular hours of work are 9 am to 5 pm, Monday to Friday; however, occasional evenings and weekends may be required. Salary $50K/year based on experience. Extended health care including dental and vision care. Ten paid personal days plus three weeks vacation.
Proof of COVID-19 vaccination is a requirement of all North House employees except for those with an approved medical or human rights exemption.
