Job Overview
Position: Part Time (12-16 Hours a Week), Fixed Term (October 2025 to June 30, 2026)
This Fish Habitat Coalition Coordinator position will support the ongoing needs of the Conservation Stewardship Department. The position will provide office-based assistance to field teams and the Executive Director to support the project. The position is hybrid (mix of working from home and from our Surrey Office). The part-time coordinator will support internal operations by organizing meetings, tracking action items, and managing follow-ups with members and external contacts.
This is a Hybrid-Remote Role that requires flexible hours.

Primary Duties and Responsibilities Will Include:
Project Administration
Provide administrative support across multiple projects, ensuring timelines and deliverables are tracked and updated.
Assist in coordinating project schedules and calendars, ensuring key milestones and meetings are aligned.
Prepare, edit, and distribute project-related documents, reports, and presentations as required.
Meeting Coordination & Documentation
Schedule, attend, and take detailed minutes for in-person and virtual meetings.
Track action items and follow up on assigned tasks with relevant stakeholders.
Set up virtual meetings and ensure technical readiness (e.g., Zoom, Teams, etc.).
Communication & Liaison
Act as a point of contact for internal and external project-related inquiries via phone and email.
Facilitate communication between team members, departments, and external partners as needed.
Ensure timely and professional responses to questions and requests.
Administrative & Office Support
Organize and maintain digital and physical filing systems for project and office documentation.
Prepare and format documents, spreadsheets, and correspondence to support team needs.
Provide general administrative support, including ordering supplies, managing office logistics, and assisting with onboarding materials for new staff or projects.
Knowledge, Skills and Abilities:
Proficient in Microsoft Office Suite.
Self-starter, well organized, analytical, flexible, and detail-oriented, with the ability to manage multiple priorities and meet tight deadlines.
Good interpersonal skills with ability to work in a dynamic, multi-faceted team environment.
Demonstrate ability in effective oral and written communications.
Experience working with a large team
Knowledge of workplace safety and relevant protocols is an asset.

Job Type: Fixed term contract

Pay: From $24.00 per hour
