Job Description

Position Summary: We are seeking an energetic, detail-oriented, and proactive Office Coordinator to support the daily operations of our office and contribute to an efficient, welcoming, and professional environment. This role is essential in providing frontline client service, coordinating internal activities, and supporting our brokers and administrative team. The ideal candidate is highly organized, has excellent communication skills, and thrives in a fast-paced setting.

Key Responsibilities

Front Desk & Client Relations



? Greet and welcome clients, brokers, and visitors with professionalism and warmth

? Answer and direct incoming phone calls, respond to inquiries, and manage Immocontact messaging

? Mail distribution

? Coordinate key drop-off & key pick-up

? Ensure the office and common areas are clean, organized, and presentable at all times

? Monitor office inventory and coordinate restocking of supplies (water, stationary items etc.)

? Assist with in-house event setup (chairs, coffee station, presentation area)

? Print and post monthly event graphics and reminders throughout the office

Scheduling & Coordination



? Manage shared calendars for conference room/podcast room bookings, training sessions, and internal meetings

? Notify brokers and staff of all upcoming training seminars, important office updates, and events (via mass email and Immocontact)

Administrative Support



? Admin support, organize & update brokers files & forms

? Support onboarding processes by preparing recruitment folders and reviewing necessary forms

? Assist with trade report submissions, file verification, and Nexone platform support (Our CRM)

? Help brokers with printer setup and troubleshooting and/or other requests

Marketing & Communications



? Maintain a consistent and engaging presence on BLVD's social media platforms (Instagram & Facebook)

? Maintain plannable as a social media content calendar for upcoming posts

? Collaborate with the team to create and schedule content that promotes the company and its culture

General Office Support



? Assist across departments with special projects and miscellaneous tasks as needed

Qualifications



? Previous experience in an administrative, front-desk, or office coordinator role preferred (real estate experience is a plus)

? Excellent organizational and multitasking skills

? Strong communication and interpersonal abilities

? Proficient in Microsoft Office Suite, Google Workspace (Docs, Drive, Calendar), and social media platforms

? Ability to work independently and collaboratively in a team setting

? Professional demeanor, positive attitude and proactive approach to problem-solving

? Ability to work independently while remaining a team player

? Bilingual in English & French is strongly preferred

Job Type: Full-time

Pay: From $20.00 per hour

Expected hours: 40 per week
